Volunteer Coordinator supervises and leads the daily undertakings of a volunteer program to attract, inspire, train, and deploy volunteers. Leads the recruiting, interviewing, and hiring of volunteer workers. Being a Volunteer Coordinator is responsible for training and educating volunteers. Motivates and inspires volunteers to encourage teamwork. Additionally, Volunteer Coordinator evaluates and reviews volunteer schedules and makes adjustments as necessary. Ensures that the activities of the volunteer workers meet the needs of the organization. May require a bachelor's degree. Typically reports to a manager. The Volunteer Coordinator supervises a group of primarily para-professional level staffs. May also be a level above a supervisor within high volume administrative/production environments. Makes day-to-day decisions within or for a group/small department. Has some authority for personnel actions. To be a Volunteer Coordinator typically requires 3-5 years experience in the related area as an individual contributor. Thorough knowledge of functional area and department processes. - Contributes to team efforts by maintaining positive, supportive and flexible working relationship with staff, volunteers and donors in the mutual pursuit of providing comfort and care to families of seriously ill or injured children being served.
- In charge of creating a best-in-class volunteer experience for all volunteers that work together
- Recruits volunteers for coverage of critical positions to supplement House staff including
- Family Services Volunteers (In House, Receptionists, Shuttle Drivers)
- Food Groups (Meal Makers, Treat Bakers)
- Training plans in place collaborating with appropriate staff who are responsible for the supervision of these positions during the day
- Works in collaboration with the whole team to understand the needs of their departments to provide volunteer support. Designs the “hand offs” between departments so the volunteer experience is seamless
- Responsible for the recruitment and coordination of meal makers and treat bakers based upon the needs of the families. Develop a recruiting plan using multiple avenues
- Works closely with Marketing to ensure that the website remains up to date with volunteer instruction and visibility to calendar/timing. Also responsible for the reminders and thank you to all Meal Makers and Treat Bakers.
- Utilizes volunteer management software to maintain schedules, records, and events for volunteers.
- Develops and enforces the process by which all volunteers sign in to enter the House and sign out when their shift or task is completed.
- Working together with the Development Team, recruits volunteers from local companies to engage them in the mission of the House. This includes regularly scheduled volunteer positions as well as special projects such as room upgrades, and landscape/yard clean up.
- Works with Development team to recruit volunteers for all special events
- In charge of the thank you process for all volunteers.
- Responsible for the monthly volunteer dashboard & tracking impact of volunteers.
To be considered for the Volunteer Coordinator position, applicants should:
- Bachelors degree in related field, preferred
- 3 years of professional experience
- A proficiency for exceptional service and support for families with hospitalized children.
- Keen attention-to-detail and highly organized.
- Excellent written, oral and interpersonal communication skills.
- Ability to quickly transition between tasks as needed (multitasking) and balance shifting priorities.
- Ability to thrive in a fast-paced environment with multi-faceted demands and deadlines.
- High proficiency with Microsoft Office applications.
- Ability to work well independently as well as adhere to directions from the team.
- Self-motivated and able to regularly complete repetitive, scheduled tasks.
