The Executive Assistant reports directly to the President & CEO and is responsible for handling a wide range of administrative and executive support-related tasks to enhance the effectiveness of the chief executive.  The Executive Assistant is a highly motivated, experienced, resilient, and resource professional with exceptional organizational and communication skills. 


  • Schedule, manage calendars and coordinate meetings for the President & CEO
  • Manage travel logistics including all aspects of local and distance travel, directions, appointments and meeting venues, and resulting expense reports and reimbursements
  • Plans, organizes and implements events such as meetings, retreats, groundbreaking and grand openings, and assist with fundraising events, as needed.
  • Provide support for presentations, board meetings, and special projects, including final material review and production of materials for dissemination internally and externally.
  • Provide support for meetings of the Board of Directors, including preparation of Board packets and minutes, and track commitments and priorities on behalf of the President & CEO
  • Manage incoming and outgoing electronic and hard copy communications on behalf of the President & CEO
  • Prepare for and follow up on internal and external meetings.
  • Undertake research projects and prepare concise summaries and analysis for the President & CEO
  • Create and proofread correspondence including letters and newsletters, as required, demonstrating professional level written communication skills
  • Communicate effectively with stakeholders, including donors, by phone, email, or letter, representing ACOF professionally.
  • Provide periodic support to the Chief Operating Officer and senior management staff, if requested
  • Other duties as assigned


Basic Qualifications:

  • B.A. degree or at least three years equivalent experience working in an executive administrative capacity.
  • Two years of experience using Microsoft Office Suite
  • Two years of calendar management and meeting coordination;
  • Three years working for a senior executive, e.g. CEO or President handling written and electronic communications on behalf of the senior executive;
  • One year providing support for meetings of Board of Directors, including preparation of Board packets and minutes

Preferred Qualifications:

  • Previous experience working for a non-profit organization
  • Excellent verbal and written communication skills with mastery of principles of spelling, grammar, syntax and punctuation.
  • Self-motivated, able to organize own work, coordinate projects, set priorities, meet and track deadlines and follow up on assignments with minimum direction.
  • Demonstrate sound judgment and excellent problem-solving skills.
  • Ability to interact with a variety of internal and external individuals with poise, tact, and diplomacy.
  • Able to adapt to changing circumstances and to stay calm under pressure in order to effectively problem-solve
  • Demonstrate discretion in handling confidential or sensitive information
  • Emotional intelligence to interpret and act on emotions in themselves and others
  • Sense of humor
