Summary

This new Executive Admin position is responsible for administrative support to the senior management in the Research department (the SVP and two VPs), and will report to the SVP.  Duties include calendar scheduling and meeting set-up, financial record keeping such as submitting travel expenses, coordinating meetings and conferences, obtaining supplies, filing, answering phones, sorting/distributing mail, and other tasks related to helping the SVP and VPs to manage their day-to-day schedule and workload. There may also be some work on select special projects or assistance to the department business manager.  The candidate must be able to multi-task, prioritize, and remain flexible when priorities shift; and deep organization skills are a must. In addition, because this person will be representing senior management, strong written (especially formal email) and verbal communication skills are required.  Familiarity with MS Office (Office 365 is ideal), and experience with travel and expense systems are required. 6-10 years’ experience required.

Responsibilities
  1. Maintain SVP, and VP’s calendars (3 individuals). Help prioritize competing meeting requests.
  2. Organizes meetings for SVP/VPs and some larger Research meetings, including material preparation, room set-up, catering, agendas, OneNote files, taking and distributing notes as requested, etc.
  3. Schedules travel for SVP and VPs and prepares expense reports
  4. Must have, or quickly gain, full knowledge of current technology, including conference room equipment to help facilitate presentations and help troubleshoot basic technology issues
  5. Serves as a resource to the team on office procedures, standard business practices and systems, with a goal of making our team more efficient; this includes documenting procedures and recommending improvements, as appropriate, to increase efficiency
  6. Coordinates with other administrative staff within Research as needed. 
  7. Performs other administrative functions as assigned, including processing sensitive and confidential matters, and documenting procedures and recommending improvements, as appropriate, to increase efficiency.
  8. Demonstrates “One AARP” cultural attributes and behaviors in all interactions
Requirements

Completion of High School Diploma, GED, and/or Vocational training is required plus 6-10 years of experience or equivalent training and experience, to include progressively responsible administrative and coordination experience working in a Senior Vice President office and/or an executive office environment. An Associate’s or Bachelor’s degree is a plus. Working knowledge of administrative practices including coordinating, planning, and office management is required, as well as good organizational skills and accuracy when working with details.

  • Strong organizational, accuracy, and follow-up skills, including the ability to develop alternatives and recommendations to problems
  • Ability to work well with both external people and staff at all levels of the organization
  • The person must be able to work well under pressure, including prioritizing multiple projects and special assignments (sometimes with competing deadlines) and managing them to completion.
  • Strong communication skills (written and verbal), flexibility and multi-tasking capabilities are a must. Must have high level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact and diplomacy.
