JOB DESCRIPTION:

Strategically plan and execute training programs and external meetings for the Abbott Neuromodulation Professional Education department. Collaborate with Education & Training and other key stakeholders to ensure business objectives and priorities are met. Lead effort in venue sourcing to place the meeting or event with the appropriate meeting space and other specifications to support each program. Work closely with vendors to design or create event elements to support strategic objectives and program deliverables. Develop communications for the field sales force and attendees to ensure appropriate awareness of the event. Manage the planning and supervision of all internal resources and external vendors that may include transportation. Process a series of post event tasks that include timely payment of invoices, internal chargebacks, HCP (Healthcare Professionals) reporting, financial summary and attendee evaluations.

Job Duties:

  • Coordination and management of HCP peer to peer programs and customer education events
  • Communicate directly with host and visiting physicians as well as field for peer to peer programs
  • Partners with the customer education team to provide operational support necessary for program development and improvement
  • Coordinates all reporting metrics to provide compliance appropriate reports
  • Support arranging necessary logistics (travel, hotel, etc) for customer attendees through utilization of internal meeting management tool
  • Manage agenda/invite development and maintenance for customer education programs
  • Maintains calendar of approved national peer to peer programs. Manage registration process and training program communications, program logistics and post-program close-out for assigned events
  • Accomplishes all expense management associated with expenses incurred through customer education programs. Tracks budget associated with programs.
  • Ensure all stakeholders are included in the pre-event planning and maintains control over the event timeline and project deadlines.
  • Supports sources training program venue sites and other meeting spaces to support overall program.
  • Coordinate all logistics in association with training event including housing block, food & beverage, audiovisual equipment coordination, staff scheduling, Cvent registration and attendee badging, meeting space specifications, offsite events and preparation of pre-event communications for regional programs.
  • Work collaboratively with official corporate travel resources and partnerships in accordance with policy and procedure.
  • Maintain complete fluency and understanding of Abbott travel and spend policies and external regulatory guidelines like the Sunshine Act.
  • Prepare and manage budgets for major meetings and training events. Monitor expense and managed event costs at or under budget.
  • Manages record retention to ensure traceability for all aspects of Education programs for which compliance policies apply.
  • Participates in reporting of metrics to provide appropriate reports to various audiences including Compliance, Transparency, Sales, and Marketing partners.

Qualifications:

  • 3+ year’s experience with customer coordination/logistics and administrative responsibilities
  • Bachelor’s degree Exceptional communication skills and professional demeanor
  • Exceptional organizational and prioritization skills with strong attention to details
  • Proactive problem solving
  • Able to work independently, make accurate decisions and handle multiple projects simultaneously
  • Able to work within a team and as an individual contributor in a fast-paced, changing environment
  • Experience in medical device, healthcare or pharmaceuticals preferred
  • Occasional or regularly scheduled overtime is a requirement of this position as well as rotating weekends
  • Travel required, up to 50%.
