The Staffing Coordinator provides support to all team members in the person-centered hiring process and philosophies of Home and Community Supports.  The Staffing Coordinator provides assistance in all department hiring processes and staffing needs as well as tracking in conjunction with Human Resources, as well as those we support. Skills necessary in this position include a high level of organization, energy, and motivation, and teamwork. Reports to the Vice President of Home and Community Supports.


  1. Review requests and staffing needs for Home and Community Supports all service and support offerings to include A Home of My Own, as well as all Community Health Choices referrals. 
  2. Work with the inter-agency team on person-centered practices and philosophies to ensure solid matches are made, participation in the interview process by people we support and their families.
  3. Completes a listing of vacant positions/staffing needs for Human Resources and all department staff and updates weekly.
  4. Participates in interviews as needed with the HR Generalist to ensure Person-Centered matching and philosophies are promoted.   Ensures that the appropriate Coordinator / Specialist also attends all scheduled interviews.    
  5. Fulfilling staffing vacancies, in advance when possible to ensure utilization is met, and frequency and duration is met in accordance with the Individual Support Plan.   
  6. Review utilization and staffing need with the Vice President as well as team members to ensure appropriate recruitment efforts are made.  
  7. Assist Coordinators, Specialists, and Managers in following up with phone calls and communication as necessary with current individuals and families regarding staffing needs or changes that may be necessary.  
  8. Communicating with managers, coordinators, and specialists, regarding orientation schedule for newly hired employees in the department, and assisting Human Resources as needed in this coordination.    
  9. Completion of onboarding system forms (Unicentric/ EVV App login information, access to necessary information systems, etc.) 
  10. Utilizing recruitment spreadsheets and other documents to change and update staffing information as needed.  
  11. Complete monthly master staff schedules when applicable for distribution to appropriate staff.  (
  12. Assist when appropriate in facilitating interviews in a person’s home to ensure appropriate staffing supports are reached.
  13. Identify replacement staff for staffing needs as soon as possible in our 24-hour location(s) as part of an on-call rotation. 
  14. Follow up with families about the current Life Coach in place and ensure satisfaction and quality assurance.  
  15. Performs other related duties as assigned. High School Diploma or GED and 3 to 5 years of scheduling experience required. Case management and/or home care experience are helpful. Proven organizational, database, word processing, and computer skills required. Ability to manage multiple responsibilities preferred. Good communication and interpersonal skills are necessary. Valid Pennsylvania driver’s license and properly insured vehicle required. Act 33/34 clearances, FBI required. Travel to multiple program offices required. Occasional late afternoons, evenings, and weekends required.
