TITLE: Coordinator, Association of Rheumatology Professionals

POSITION #: 122

STATUS: Full-time - Non-Exempt 

DIRECT SUPERVISOR: Executive Director, Association of Rheumatology Professionals

 

POSITION SUMMARY DESCRIPTION:

This position is charged with supporting the activities of the Association of Rheumatology Professionals; the Interprofessional Division of the American College of Rheumatology, by assisting all personnel in the planning, development, implementation, and administration of projects/initiatives.

 

DUTIES & RESPONSIBILITIES:

Project Coordination:

  • Assist team members in the development and coordination of projects and initiatives, including
  • Participation in user acceptance testing (UAT)
  • Assistance with sending and tracking faculty/speaker/moderator agreements
  • Proofreading and/or reviewing content and other materials
  • Assist in monitoring progress and follow-up to ensure successful completion of projects/initiatives
  • Ensure timely and accurate communication on projects/initiatives
  • Maintain general understanding of project scope to assist team members in tasks across multiple projects
  • Maintain general knowledge on select project deliverable schedules and provide status updates as necessary
  • Represent the division at various meetings across the College such as the Data Steering Committee, Product and Development Team meetings, etc.

 

Maintenance of Financial Information:

  • Review, prepare, and submit account payables and receivables via accounting software including but not limited to credit card statement reconciliation, member travel reimbursement submissions, award/stipend/honoraria processing, etc.

 

Administrative Support

  • Coordinate and communicate participant details for committee/partner meetings and video phone conferences
  • Organize and maintain all division electronic and paper records, including invoices and contracts
  • Provide customer service support to members via phone and email and, where appropriate, direct callers to the appropriate staff within the College for additional resources
  • Collect/distribute mail/faxes
  • Fulfill requests for materials/information from members, non-member and College staff
  • With direction from team members, routinely review and update website and social media calendar and prepare analytic reports
  • Arrange staff travel, reimbursement and hotel accommodations, and prepare travel documents for team members
  • Maintain office supplies and materials
  • Ability to lift a minimum of 25 pounds on a routine basis
  • Other duties as assigned

 

Staff Supervision: None, however this person may train and provide indirect supervision to temporary staff, as needed.

 

Some travel as necessary to fulfill job responsibilities

 

QUALIFICATIONS:

  • Bachelors degree or equivalent combination of education and experience
  • Detail-oriented and superb organizational skills
  • Excellent oral & written communication skills; solid proofreading ability
  • Self-starter with demonstrated ability to set and manage multiple priorities and work independently while functioning as part of a collaborative team
  • Knowledge of Windows OS and Microsoft applications, including superior proficiency with Excel, electronic communications, and internet research; proficiency with databases and database management; and familiarity with social media platforms and purposes
  • Previous experience providing customer first, service within a member driven organization
