Job Summary:

The Whizin Center is looking for a skilled, hard-working and resourceful Special Events and Engagements Producer to join our team. The right candidate is an experienced multi-tasker who is self-motivated, quick to tackle challenges and has the ability to manage full event production from concept through execution.The candidate should have extensive knowledge and be well versed in all aspects of event production.

Duties and Responsibilities:

  • Produce events from concept to completion – involving strategy, management and oversight of all details for each event.
  • Develop and manage all structure, timelines, complex budgets and overall projects organization in collaboration with Development, Hospitality and Communication.
  • Clearly communicate event project scope, schedules, deliverable dates, project status/action items and any other relevant information to relevant internal (Hospitality, Development, Communication) and external (talent, vendors, brand partners) teams.
  • Work closely and directly with the Director of Events (Hospitality) and the Communications team to understand and support the overall business objectives of the department.
  • Serve as a thought leader - anticipate all needs and concerns from inception to post-event.
  • Attend project meetings and creative work sessions/brainstorms; facilitate as needed.
  • Oversee all spending to ensure fiscal responsibility; organize and reconcile project expenses.
  • Prepare internal and external written briefings for clients and for team implementation.
  • Work in conjunction with Hospitality to support as needed in the following areas: Clearly dictate needs and specificities to printers, production designers and installers and oversee the quality control, safety and effectiveness of installations, fabrications, load-ins and load outs.
  • Manage communication with and serve as primary contact for talent, presenter, or partners, in conjunction with Relationship Manager, after contract has been confirmed and finalized.
  • Manage expectations for all stakeholders, ensure delivery of the highest quality service, solicit and act on feedback.
  • Interface with outside professionals hired for assigned projects included, but not limited to, event designers, production managers, technical directors, and printers (may be in house or third party.)
  • Work in conjunction with Hospitality to determine personnel requirements, outline team responsibilities and work with any outside agencies to ensure brand representation is second-to-none.
  • Work with Relationship Manager to complete all contracts, agreements and all clearances.
  • Pro-actively debrief project elements when completed.
  • Provides constant, efficient communication between all parties, ensuring information regarding all projects are accurate.

Qualifications:

  • 4+ years of experience in event production
  • Experience producing events with 500+ attendees
  • Strong interpersonal and communication skills, both written and verbal
  • Strong organizational skills with immense attention to detail
  • Autonomous and self-sufficient with a proven ability to stay on task and on deadline
  • Proven ability to multi-task and handle multiple projects
  • Excellent project management skills, including planning, scheduling and vendor negotiation
  • Knowledge of design, lighting, sound, video, photography and social media
  • Familiarity of venue building codes and standards and public space event permitting
  • Proficiency with Macs as well as Word, Excel and Keynote

Additional Responsibilities:

Must be able to travel and be on-site for all relevant meetings related to pre-production, post-production and during the event. May require off-site meetings with talent, vendors, and other third-parties. Requires long hours, especially on event days.
