American Specialty Health Incorporated is seeking an Administrative Analyst to join our Fitness Operations department. This position will ensure that the member experience with the Fitness products is of the highest quality possible by loading all standard sets of member materials for all Fitness clients to Tridion and to ensure they are accurate and formatted.

Responsibilities

·         Loads all stock numbers and pertinent data for materials to FMS prior to client implementation, as they are received by MKT.

·         Loads all fitness member material to Tridion and previews pieces as they are loaded as well as after they start generating for printing.

·         Verifies that each applicable material displays on the website once published.

·         Provides thorough attention to detail to ensure materials loaded match the client approved version.

·         Recognizes when issues have occurred with member materials by supporting Sr. Coordinator and monitoring the Fitness Management System Dashboard to provide feedback to management as needed.

·         Gives thorough research to any materials related problems to determine the best way to proceed and maintains an updated list of all possible IT bugs/concerns related to member materials.

·         Assists Sr. Coordinator with the coordination of member mailings including but not limited to Annual Fee Renewal Letters, the Silver Slate, and client ad hoc mailings.

·         Maintains the Promotional Mailing Grid.

·         Performs quality assurance tests on all fitness member materials prior to them being printed and mailed.

·         Schedules internal meeting appointments and meeting as requested.

·         Supports the team on ongoing research and QA projects as needed.

·         Prepares spreadsheets, reports, flow charts, organizational charts, and Power Point presentations as needed.

·         Maintains confidentiality of all reports, files, schedules, databases, and documents, as well as all member, provider, and proprietary information.

·         Responsible for maintaining the products matrix and participates in quarterly inventory analysis.

·         Assists with the purchase order process for new products and re-orders.

Qualifications

·         High school diploma required.

·         2-3 years of general office experience including administrative support.

·         Computer skills to include Word (to include mail merges), Excel, and PowerPoint.

Primarily sedentary, able to sit for long periods of time. 

Physical Requirements

Ability to speak, see and hear other personnel and/or objects. Ability to communicate both in verbal and written form. Ability to travel within the facility. Capable of using a telephone and computer keyboard. Ability to lift up to 10 lbs.

Environmental Conditions

Usual office setting.
