Expanded Services Patient Coordinator is responsible for providing quality customer service to patients and parents at check-in and check-out as well as responsible for verifying patient insurance eligibility, Status and service limits.
* Deliver quality and compassionate care to every patient
* Greet parents and patients when they enter or leave the office and keep them informed of any wait time.
* Call out the patient name before no showing or cancelling appointments on the daily schedule.
* Check in patients for their daily appointments and verify their contact information is accurate
* Complete ownershipof their schedules, ensuring show rates are high
* Confirm appointments for upcoming days
* Contact all patients using every number in the chart and attachments and document in the confirmation tab each attempt. Email any patients that have not been confirmed.
* Ensure patients are informed about their upcoming appointment,
* Ensure parents who are waiting are kept informed of the progress of their appointment or child
* Maintain a clean and tidy waiting area and front desk area
* Verify patient insurance eligibity
* Ensure all patient Boomerang Charts are accurate (update patient records, verify insurance and service limits) before the patient's appointment with and Doctors to provide the opportunity for same day care to patients
* Schedule follow-up and next appointments even during confirmations
* Assist with routing referrals to appropriate doctor
* Ensure pre-authorization processes are completed for approvals
* Collect payments, post accordingly in practice management system
* Answer incoming patient calls and assist with need or direct to another team member for help
* Ensure patients are compliant with appointments, financial obligations, and send the appropriate communication leading up to or including termination from treatment
* Assist with maintaining spreadsheets or databases for tracking purposes, as needed or directed by OFC
* Ensure all patient records are updated and ensure scanned documents are captured accurately
ADDITIONAL DUTIES AND RESPONSIBILITIES
Participate in local community affairs and events to include school screenings, presentations, events, and any opportunity to promote a positive image of Kool Smiles
* Participate and contribute best practices on a quarterly PC call
* Complete assigned trainings.
Assist with other office duties as needed
