Job Title:

Administrative Assistant/Office Manager “AA/OM”

Job Description:

This AA/OM will support two Blackstone Equity Managed Account Platform Portfolio Companies (2 PMs, 6 Analysts) and act as full floor liaison with Blackstone headquarters team.

The responsibilities will include but are not limited to the following:

  • Calendar management; scheduling appointments, confirming meetings and coordinating with other assistants, outside vendors, and Sell-Side brokers
  • Answering calls and acting as gatekeeper
  • Booking conference rooms for internal and external meetings; coordinating registration and greeting guests
  • Completing detailed expense and out of pocket reports including tracking receipts and project codes
  • Coordinate third party vendors (HR, IT, Legal etc) in relation to Portfolio Companies
  • Maintaining contacts in Outlook
  • Coordinating travel arrangements including flights, visas, cars, hotels, and other reservations
  • Maintaining and updating excel sheet trackers spanning conference meetings to IT tickets/status to soft-dollar management for Portfolio Companies
  • Utilize existing trackers and platforms (i.e. CorpAxe) to assist in bi-annual Broker Votes
  • Maintaining and organizing files, office supplies, etc
  • Coordinate with Blackstone Facilities/Office Services/Pantry Services etc for full floor
  • Coordinate with Reception and oversee projects assigned to the Receptionist
  • Working on various ad-hoc projects

Qualifications:

  • Experience in supporting a team preferably within a financial services organization that has included handling confidential and sensitive information
  • Thrives in a multi-task environment where there are competing priorities and deadlines/deliverables
  • Ability to remain poised and calm under pressure
  • Strong communication skills both verbal and written
  • Highly organized with strong attention to detail
  • Team player – energetic, enthusiastic and personable with a “can-do” attitude
  • Ability to perform duties with the highest level of confidentiality and integrity
  • Ability to be versatile, adaptable and resourceful
  • Experience with coordinating travel arrangements both domestic and international
  • Advanced MS Office Suite
  • Familiarity with Concur, CorpAxe, and/or MarkIt Commission Manager an asset
