JOB DESCRIPTION
Bloomscape is looking to hire an Operations Coordinator to add to our growing team at our Greenhouse/Distribution Center. Our Operations Coordinator will report to our Site Leader and focus on labor ands staffing support. HR Administration, Office Management, IT Coordinator, Communications Liaison and other responsibilities will be the focus of our Operations Coordinator. This is a rich environment where you can grow within your role and become part of history. Spanish fluency is required.
RESPONSIBILITIES
HR Administration:
- Track HC need versus actual by agency daily
- Create and update shared document with VP Ops and Director of People
- Track onboarding/offboarding of both site employees and temporary employees
- Partner with People Team to provide in-person onboarding support
- Lead in-person onboarding and orientation for new workers at Greenhouse
- Maintain site bulletin boards and postings
- Keep attendance records as required for labor planning purposes
- Ensure any tool is sortable by agency for reporting agency performance
- Be the Point of Contact at Greenhouse to connect workers to the People Team (or staffing agency) to address HR or payroll related concerns
- This position will not have access to any personal or confidential information.
Office management:
- Administrative tasks as needed
- Control office supplies
- Organize, store and regulate issue of supplies
- Monitor usage against a budget
- Inform Site Leader of any actual or anticipated deviations from budget
- Order supplies
Site Supply owner/Hardgoods inventory control coordinator:
- Working with Site Leadership create an inventory location address system
- Logical, visually easy to find and remember location layout
- Ensure that All hardgoods inventory and shipping supplies are indexed to a location either in the companies ERP, Warehouse Management System (WMS), or on a spreadsheet
- Control and monitor the daily check in and check out of hardgoods and supplies
- Store at least 2 days of supplies in the supermarket
- Store at least 1 shift worth of supplies at each workstation
- A team member under your guidance is to replenish the supermarket(s) from the inventory locations
- Designated floor team members are to replenish from the inventory supermarket to the workstations at either start or end of shift and as minimally necessary during the shift
- Work with site leadership to establish local “supermarkets” and workstations for shipping supplies
- Create, populate and maintain a spreadsheet that includes inventory count by location along with max daily usage, safety stock level, quantity held in stock by suppliers for quick delivery, days on hand, lead time, and reorder point for each item.
- Coordinate/obtain usage information, recorder point, and safety stock levels with the Bloomscape Hardgoods Buyer to update spreadsheet data weekly.
- Count and update spreadsheet on hand levels in the inventory locations weekly by Wednesday close of business AFTER supermarket and workstations have been replenished.
- Supermarket and workstation inventory will be considered consumed and will not be included in this count.
- Maintain the Hardgoods and Supply Inventory document on a shared drive accessible to Site Leader, VP Ops, and Hardgoods Buyer.
IT coordinator:
- Coordinate with users, site leadership, and Bloomscape IT any technical infrastructure issues that cannot be resolved locally or that creates critical process downtime
- Critical processes are those that result in degradation of Shipping or Listing Product as available for sale in a manner that can affect customer experience.
- Liaison on any projects that might include installation and maintenance of new, connected, equipment
- Liaison regarding any Corporate IT inquiries
- Keep the Site Leader informed on IT issues you are coordinating
Communications liaison:
- Act as the site Point of Contact (POC) for Bloomscape headquarters inquiries, visitors, vendors, suppliers of a routine or administrative nature that doesn’t require immediate Site Leader attention
- Also be a secondary POC after site leadership for employees and temporary employees that have HR related issues or questions that require off site assistance
Projects coordinator
- In support of site leadership as assigned from time to time
QUALIFICATIONS
- Spanish Fluency Required
- Previous HR experience preferred
- E-commerce fulfillment center startup experience
- Proactive, enthusiastic hard worker with an eye for detail
- Ability to multitask, prioritize, and manage time effectively
