CONFIDENTIAL HUMAN RESOURCE ASSOCIATE Unaffiliated 12 months (40 Hours per week)Under general supervision performs professional work of considerable difficulty overseeing a range of administrative functions related to human resource management, employee development and quality customer service. Assists employees and management with all human resource needs and performs related work as required.
RESPONSIBILITIES:
Gather data from various sources and compile into a useable format to analyze and present useable information to department head. Designs reports based on specific department needs. Ensure departmental data is accurately and consistently maintained and troubleshoot inconsistencies. Assist staff with correctly entering data into department or City information system. Assists with creation of accurate and timely reports such as FMLA, leave of absences, hiring and transfer of employees, reports or other reports related to department operations. Assist in coordination of HR initiated meetings as directed. Oversee the maintenance of filing and organizational systems for department legal, labor relations, civil and federal suits, files and maintenance of confidential employees files and profiles, for all past and current employees. Appropriate coordination and maintenance of fingerprinting and its documents. Support the maintenance of any additional files of the Human Resources Department to support easy retrieval and reporting of information as needed. Ensure the ongoing archiving of personnel files is complete in a timely manner as demand warrants. Support the HR Director, Assistant and or Manager with maintenance and administration of the HR office, confidentiality agreements, confidential of documents drafted, organizing of files, HR forms, and maintaining a legal library. Review of university transcripts, posting of dates, posting of appropriate information and transfer of same on to other appropriate HR documents for proper processing. Support the protocol of sick leave and sick bank calculations and the associated reports as necessary. Make appropriate recommendations to department administrators regarding any discrepancies, if and when necessary. Coordinate and support with the TEAM coordinator as directed from the Director of Human Resources with any ongoing projects that pertain to Human Resources. Maintain HR database of staff employment and demographic information in an accurate and timely fashion. Assist with recruitment of onboarding and processing of all non-certified and certified staff, communication and continuous dialogue is a must either verbal or in writing is necessary to ensure the proper flow of onboarding and processing. Assist and coordinate dissemination of paperwork to building administrators. Assist in the planning and preparation for personnel-sponsored workshops and recruitment activities as needed. Prepare for, plan, and attend recruitment fairs as assigned. On an ongoing basis, provide support to building administrators and department administrators during recruitment of new staff. Assure full utilization of online posting and application system for easy and efficient retrieval. Assist with tracking all resignations, retirements, transfers, and hires on centralized database for department access. Assist with communication with certified staff regarding certification status and any pending state requirements. Assist new and veteran staff with certification paperwork and information as necessary. Assist with all new hire and other personnel change paperwork and disseminated to appropriate parties and appropriate departments, if and when necessary. Follow new hire protocol, as set forth by the Bridgeport Public Schools HR Department, Connecticut State Department of Education and other appropriate State of Connecticut Departments with all new hires. Assist with the preparation of statistical reports; correspondence preparation; Processing of invoices; Attendance tracking; Medical leave follow-up, medical files, status and tracking; Review of on-boarding paperwork for accuracy and completeness. Responsible for all correspondence entering and leaving the office. Support and assist with scheduling, coordination, and preparation of interviews. Assist with the retrieval of Munis system information and assist with ensuring information is up to date by informing the payroll department. Assist with preparation of State and Federal reports as necessary Support with the maintenance of Applitrack profiles Assist with marketing and branding of Human Resources Processing of HR, Finance and Payroll documents and forms Maintenance of employee files. Personnel and Medical Maintenance of any and all HR forms on database and HR electronic shared drive Assist the Director of Human Resources as requested and be part of the HR team to support the ongoing efforts of customer service. Maintain current and up-to-date HR folder with departmental forms, on HR shared drive for easy access by all department staff. Maintain high level of ethical behavior and confidentiality of information about employees, applicants, and recommended candidates for hire. Proactively work to utilize workday effectively. Manage time to meet workload demands and department schedules. Maintain positive and professional relationships with central office co-workers and employees of the district. Demonstrate flexibility and ability to respond to challenging and changing priorities. Work toward the mission and goals of the District and Human Resources to provide excellent customer service to all stakeholders. QUALIFICATIONS:
- Graduate of a business, human resource or certified legal program. Associate's degree preferred.

- Prior experience in human resources management and experience in HRIS computer applications (data base management) required
- Knowledge of and experience with Microsoft Office Suite
- Ability to work independently as well as a hands on team member
- Ability to maintain strict confidentiality
- Ability to work under pressure
- Ability to meet timelines
