I. Basic Purpose:
Plans and provides training for all areas within Martin Medical Center, Martin Hospital South and Tradition Medical Center relating to the registration/scheduling/compliance processes. Ensures all Access personnel are current on all department education program requirements, and remain updated on changes affecting the admissions/scheduling module as well as other modules within the Epic system.
II. Major Duties and Responsibilities:
1. Complies with established corporate and departmental policies, procedures, objectives, quality assurance methods, and safety codes. Demonstrates compliance with licensing, regulatory and accrediting agency provisions as required.
2. Consistently demonstrates appropriate and professional communication behavior toward patients, customers, and coworkers. Cooperates with Management and peers to promote an environment of teamwork and collaboration.
3. Maintains and updates the departmental orientation plan and submits any revisions to the Managers, Directors, Education Department, and Human Resources.
4. Corresponds with the Corporate Compliance Representative, remain current and educate all staff member on issues that relate to the Access areas. Oversees compliance activities, assists in the development and review of compliance policies and guidelines with ancillary department personnel.
5. Organizes an effective orientation program/training for all levels of personnel within the Access area. Plans, coordinates and conducts internal in-services and external education for Access personnel. Develops and runs study sessions for Corporate Business Service associates seeking professional certifications
6. Develops and maintains directory/database of access standard works in corporate datatbase, Hospital Portal or related database.
7. Investigates and resolves discrepancies and problems that occur with Epic admissions module. This will include, but not be limited to: insurance dictionary, physician UPIN dictionary and provider dictionary. Performs systems analysis.
8. Works closely with Supervisors to monitor individual ASC performance. Provides one-on-one targeted training to respond to performance deficiencies. Uses errors as training tools for Associates.
9. Collaborates with other areas with registration functions within Martin Health System to ensure that would be impacted by changes and updates and federal guidelines, as well as corporate policies, are notified promptly and effectively. Facilitate process to maintain corporate consistency and compliance within MHS.
10. Demonstrates outstanding customer service in all interactions with internal and external customers. Recognizes patients who need to be registered on a priority basis. Responds to patient problems, complaints and inquiries. Ensures all complaints are resolved or referred to appropriate personnel. Communicates clearly and concisely with all levels of individuals while complying with confidentiality criteria. Demonstrates ability to understand and explain department and hospital policies and procedures.
11. Identifies process improvement opportunities and actively participates in improvement plans. Promotes the team concept with coworkers by addressing issues in a constructive/proactive manner.
12. Attend all departmental meeting as required. Attends all Admitting in-services and educational seminars as required. Maintains passing score on annual Access competency assessment.
13. Maintains annual mandatory education requirements specific to position as mandated by Martin Health System.
14. Performs all other duties as assigned or requested.
III. Minimum Requirements (experience, training, and education):
To effectively fulfill this position, candidate must meet the following requirements:
> Education: Associates Degree; 3-5 years' hospital or healthcare experience in Registration, Business Office or Education. Prior supervisory experience strongly preferred. Bachelors Degree or Bachelor Degree seeking preferred.
> Must successfully pass: MHS Medical Terminology test, Customer Service and Data Entry tests. Must score a minimum 35 wpm on typing test.
> Must obtain passing (90% or better) score on Medicare Fraud & Abuse test during 90-day probationary period. Must maintain passing (80% or better) score on annual departmental Access competency assessment.
Strong interpersonal skills required; must have prior experience in developing, implementing, and leading training programs. Ability to effectively communicate with all levels of associates, patients, families, physicians and general public. Excellent customer service skills required.
