Job Summary

The Executive Assistant provides administrative and secretarial support to the executive leadership team.  Duties include maintaining a smooth-running, well-organized infrastructure including information systems, resources, mail, producing reports and documents, and internal as well as external meeting planning.  This position also serves as the primary support for the organization’s human resources unit.  As a support to the management team of the organization, this position will play a key role with others to build and sustain the appropriate organizational culture to attain the organization’s goals and objectives, around and in the spirit of the organization’s mission, vision and values.

Responsibilities and Duties

  1. Provide complex and high level administrative and secretarial support to executive leadership, policy specialists, and others as assigned.
  2. Prioritize work and meet assigned deadlines while appropriately resolving those that conflict.
  3. Follow and implement the organization’s client services policies and procedures
  4. Appropriately prioritize tasks as needed and to multi-task numerous responsibilities in a timely manner. 
  5. Assist with organizing, coordinating and producing complex agency, state, federal and other regulatory reports which involve collecting, tracking, and summarizing data from multiple persons, locations and resources.
  6. Provides high-level administrative support to the organization’s key strategic initiatives and related projects.
  7. Provides high-level administrative support to organization’s human resources unit, including maintaining employee files, HRIS (human resources information systems) data input, training database, and other confidential personnel related information.
  8. Establish personal credibility throughout the organization, in order to be an effective support person.
  9. Coordinate arrangements, as directed, for assigned meetings.
  10. Produce quality, error free, written materials both printed and electronic.
  11. Effectively and regularly communicate with employees, clients, external volunteer leadership, and the public at the individual, team and organizational levels.
  12. Maintain thorough and complete records including minute taking and database entry.
  13. Maintain, when required based on subject matter, strict confidentiality of information not meant for other consumption.
  14. Develop and maintain collaborative, cooperative relationships with internal and external stakeholders, including clients, the community, the board of directors as well as employees at all levels of the organization.
  15. Apply the principles of the organization’s vision and values in all work-related business and interactions.
  16. Perform other duties as requested or required.

Required Qualifications

  1. High School Diploma or GED plus five years of full-time experience supporting executive leadership in administrative and secretarial work.  A bachelors’ degree in business administration, communications, or related field may substitute for two years’ experience.
  2. Strong and effective writing, verbal, and negotiating communications skills including the ability to do so in a concise manner, even when doing so regarding complex issues to a variety of people.
  3. Excellent interpersonal, relationship-building and collaboration skills to be able to work effectively with others inside and outside of the organization; relationship builder with the flexibility and finesse.
  4. The ability to take direction and independently follow through on all instructions.
  5. Excellent detail-orientation, follow-up skills, organizational skills, and proofreading skills.
  6. The ability to multi-task and work under challenging conditions while meeting required deadlines.
  7. Demonstrated ability to manage workload so that services are delivered timely and appropriately. 
  8. Experience in meeting planning, negotiating meeting spaces and vendors.
  9. The ability to work well independently but also in a team environment.
  10. Advanced working knowledge of Microsoft Office suite especially Outlook, Word, Excel, and PowerPoint, along with Adobe Acrobat Pro.
  11. Working knowledge of Microsoft Visio.
  12. High level of commitment to service excellence.
  13. High degrees of integrity, ethics and judgment are a must.

Preferred Qualifications

  1. Bachelors’ degree in business administration, communications, or related field.
  2. Demonstrated success working with persons with disabilities.
  3. Bilingual in English/Spanish – both written and spoken word.
