Do you love Barbeque? “America’s Barbeque Expert,” the Kansas City Barbeque Society (KCBS), is a nonprofit organization dedicated to preserving, celebrating, promoting and educating the public about barbeque as a distinctively American cuisine. KCBS is a membership-based organization with nearly 20,000 members (judges, cooks, organizers, etc.) across the United States and in 42 countries.  KCBS is the leading sanctioning body in food sport; sanctioning 500+ contests annually across the world. KCBS partners with companies and brands who share a desire to reach the backyard smoking, grilling and live-fire cooking audience. We are looking to grow into the future by continuing to focus on our core audience, while expanding into new audiences, developing new programs and building additional partnerships. 

Job Summary:

KCBS is currently seeking a full-time Manager, Memberships, Judging and Office Programs located at our Kansas City Headquarters. This position will be responsible for the management and administration of KCBS's Membership Programming and all aspects of Member relations. 


  • Partner with CEO to develop Membership campaigns to drive New Memberships among various target audiences.
  • Develop programs and communication strategies to drive annual Membership Renewals.
  • Seek out strategic partnerships for Membership benefits and programming. Partner with Director of Marketing to share Membership benefits and Partner programs to Members.
  • Engage with Marketing partners to drive communication and membership conversion among KCBS event attendees or followers on social channels.
  • Monitor competitive and complementary Membership organizations to understand market dynamics and identify best practices to leverage to drive KCBS membership.
  • Lead analytics and reporting on members, outreach, marketing, and budget.


MEMBER RELATIONS

  • Maintain regular member outreach; partnering with C.E.O. and Director of Marketing to establish and drive consistent communication strategy.
  • Develop and implement strategies for retention of existing members, along with recruitment and cultivation of new members.
  • Regularly solicit member feedback; driving recommendations for additional programming/benefits to C.E.O. and Board of Directors based on feedback.
  • Measure member satisfaction, renewals, interaction, reach of events, and membership solicitations.
  • Proactively create new member benefits and partnerships to drive additional member benefits.
  • Partner with Director of Marketing to manage requests for philanthropic outreach via membership donations.
  • Represent KCBS with members via social media Membership forums and at events as necessary.

 MEMBERSHIP OPERATIONS MANAGEMENT

  • Manage operational needs for membership and strategic partnerships
  • Inform other departments about members to ensure appropriate communication and marketing.
  • Work with Technology provider to manage Membership database; identifying and working to resolve issues as necessary for existing, potential and dropped members.
  • Process applications and payments for new members and renewals.
  • Help Members as needed to guide them with self-service functions within the website.
  • Process Lifetime Memberships, call in membership renewals, event fees, and merchandise payments.
  • Maintain database member information with a change of address requests and return to sender mail.
  • Reconcile PayPal membership account and Family Plan resolution daily.
  • Oversee Ordering and Shipping of all Membership materials and Invoices as needed

CERTIFIED BARBEQUE JUDGE PROGRAM

  • Oversee all aspects of Certified Barbeque Judge program.
  • Work with Members and Technology Provider on any Judge Portal needs/issues on Website
  • Coordinate with Manager of Contests and Programs to understand demand for CBJ Classes.
  • Prepare folders and process CBJ classes.
  • Order CBJ supplies as needed; including for Classes
  • Follow-up with class instructors; input member information from class into membership data base. Troubleshoot issues as necessary.
  • Place orders for CBJ badges.
  • Assist judges who call in about missing scores, as long as within the 30 day timeframe of keeping the scorecards
  • Review invoices from Badge provider for accuracy

MASTER JUDGE PROGRAM

  • Review applicants’ paperwork for accuracy.  Email link to member to take Master CBJ exam.
  • Communicate with Members; troubleshooting any issues they might have.
  • Review the exam when received to make sure that everything is complete and accurate.
  • Order Master CBJ badges.
  • Create and send the Master Certificate.
  • Maintain records of Master Certified BBQ Judges; updating as new CBJ’s earn Masters.

100+ JUDGECLUB

  • Receive 100+ applicants make sure all is good. Create 100+ certificate.
  • Take orders for new 100+ badge if member requests 100+ badge.

OFFICE MANAGEMENT

  • Manage all incoming bills; reviewing with necessary parties for accuracy.
  • Entering bills into Quickbooks. Processing bill payments for review, approval and CEO signature and sending to respective vendors/parties.
  • Working with CEO and key staff members on invoicing other parties as needed.
  • Responsible for ordering office and building supplies.
  • Responsible for coordinating various building vendors, maintenance visits and certification updates as needed.
  • Misc. projects in conjunction with CEO.

MISC.

  • Board of Directors liaison for Certified Barbeque Judging programs and Membership programming. Provide BOD reports on key Membership programs, rosters, etc.
  • In concert with the Director of Marketing, coordinate website content and functionality to enhance membership and strategic partnership programs.
  • Complete other projects and tasks as assigned.
  • Answer and direct phone calls to proper office staff.
  • Document and maintain inventory of membership lapel pins and cookbooks. 


SKILLS REQUIRED

  • At least 3-5-years professional experience required. Associate’s or Bachelor’s degree and Membership management experience preferred.
  • Program planning, implementation and evaluation experience preferred.
  • Demonstrated ability with managing, facilitating and presenting to committees, trainings and groups.
  • Demonstrated ability to provide quality customer service and to lead and balance work with a variety of internal and external stakeholders.
  • Highly organized and detail-oriented, flexible and collaborative with an ability to prioritize and manage multiple tasks simultaneously.
  • Proactive mindset with the ability to take minimal direction and lead their programs and projects.
  • Book-keeping and invoicing experience. Quickbooks experience preferred.
  • Excellent written and oral communication skills, and positive, can-do attitude.
  • Proficiency in Office; Excel, Word and Power Point. Proficiency in Google; Email, Docs, Drive.
