Job Purpose 

Serves as a resource to students and their parents regarding on campus living and provides reception, administrative, and on-going support for the Director of Campus Living, and five Area Directors. Coordinates and manages essential functions for Campus Living operations and programs. 

This position is represented by the Lewis & Clark College Support Staff Association (LCCSSA) Local 4912 of the American Federation of Teachers (AFT). The Bargaining Agreement may be accessed online at http://www.lclark.edu/unions/lccssa/

What You'll Do 

  • Administrative Tasks: answer phone, email, walk-ins, and written inquiries and requests from students, parents, staff, administrators, faculty, alumni, and the general public. Also, they are inclusive of scheduling weekly Campus Living meetings, making photocopies, filing, take minutes for staff meetings when necessary, transcribe correspondence, mailings both electronic and hard-copy, generate reports, order supplies, coordinate travel arrangements, along with creating or editing department resource guides, manage the email and voicemail on a daily basis, and assist in overall implementation of Campus Living initiatives.
  • Program Support: coordinating end-of-year damage charges, managing on-going charges assessed throughout the year, assisting summer clientele in acclimating to campus operations, coordinate logistics of Resident Advisor selection and feedback processes, coordinate with Area Directors for Living Learning Community communication. 
  • Process Coordination: this includes collection of Housing Contracts, Lease Agreements, Living-Learning Community applications, room questionnaires, coordination of early arrivals, inclusive housing forms, accommodation letters, or any other form students turn into the Campus Living office. Manage Contract Release Committee logistics, including accepting and distributing student petitions to the committee members. 
  • Database Management: create, edit and maintain Campus Living databases for housing, summer housing, Resident Advisor Selection, as well as content on the Lewis & Clark website and social media. 
  • Financial Administration: manage Campus Living petty cash, ensuring proper use and reimbursement of funds used. Reconcile p-card purchases for the Director, manages any pay that goes to Campus Living student staff through workday, and professional association memberships & dues. Ensure accuracy in billing and invoicing of all external accounts. 
  • Recruitment: manage the recruitment materials and hiring records for graduate student assistants, Living-Learning Community members. Recruit, train, supervise and organize projects for student works if and when deemed necessary.
  • Marketing: develop and execute a marketing plan to advertise Campus Living programs and processes. 

Must Haves 

  • High School Diploma or equivalent (G.E.D) plus 3 years experience; Associates Degree plus 2 years experience; or Bachelors Degree 
  • 2 years of office experience 
  • 2 years of proficient computer use, work processing and database management
  • Strong verbal and written communications skills 
  • Ability to work independently on task through completion 
  • Receptive to feedback in an ever growing working environment 
  • Ability to honor and work with all identities and individuals, particularly those who are underrepresented in the country and/or at Lewis & Clark College 

Nice to Haves 

  • Bachelor's Degree 
  • 1 year experience in higher education; having lived or worked on a college campus 
  • 1 years experience with Colleague/Ellucian, FileMaker Pro, and Maxient packages 
  • Proven positive customer service experience 
  • Ability to think critically about processes in order to increase efficiency 

Work Schedule

  • LCCSSA Grade 14 / Step F 
  • $21.38 per hour 

Physical Requirements 

  • The job works primarily at a desk or is otherwise involved in activities requiring little lifting, climbing or working in tiring positions 
  • Bending, twisting, sitting, pinching/squeezing, seeing, talking, hearing

Eligibility to Work
