Here's how you can help. We are currently looking for an Department Assistant to join our Instructional Design team and rise to the challenge of empowering service.
Position Highlights: Provides administrative support to the Instructional Design department.
What You’ll Do:
1. Manage the flow of translation requests of curriculum materials:
a. Work with instructional designers to determine due dates and organize source and supporting documents.
b. Create translation requests using Plunet system.
c. Ongoing correspondence with Language Services teams at all points in the process, e.g., negotiating due dates, tracking overdue items, managing flow of questions, and troubleshooting problems.
2. Manage fiscal administration for the department such as preparing and maintaining the budget, processing expense claims, paying invoices, ordering supplies, etc.
3. Contract management
a. Work closely with ID Manager to submit proper documents into the contract management software.
b. Follow-up as needed for signatures, delays, troubleshooting.
4. Coordinate mass mailings and manage complex spreadsheets to track information related to the mailing, tracking numbers, etc.
5. Coordinate acquisition and distribution of gifts for district governors elect.
6. Coordinate communication with other teams as needed: International President’s office, Purchasing, Marketing, LD Team.
7. Work with ID Department Manager to stay within budget.
8. Provide additional support for FVDG/DGE Seminar as needed; previous tasks include:
a. Processing annual stipend request for group leaders (coordinate with Finance and follow guidelines for global payments).
b. Maintaining correspondence with performers, keynote speakers, other outside vendors who support the program.
c. Coordinating event sub-projects on request: e.g., HQ tours and photos.
9. Coordinate meetings (off-site, in-office and video calls) including developing meeting agendas, making hotel, meal, and transportation arrangements, and typing minutes.
10. Assist with packing and clean-out of curriculum materials from storage shelves.
11. Answer, screen and direct incoming telephone calls and emails. Greet and refer visitors to the department.
12. Perform other duties as required or assigned.
