SUMMARY: Working with the Institutional Advancement and Admissions teams, the Administrative Assistant supports the execution of a wide range of administrative tasks. Reporting directly to the Vice President of Institutional Advancement and Admissions, the Administrative Assistant serves as a key member of the team, coordinating the daily operations of the office. The ideal candidate is efficient, detail-oriented, and skilled in developing and maintaining workplace and customer relationships. They will be committed to supporting the IAA team, comfortable in a start-up and evolving environment, and have the ability to help the team stay organized and complete tasks in a timely manner.

PRINCIPLE DUTIES AND RESPONSIBILITIES:

  • Assists the Vice President in coordinating calendars, scheduling team meetings, and coordinating logistics for meetings, including room setup and catering. Prepare meeting agendas and take meeting minutes.
  • Staff the main Advancement Office front desk (when construction is complete) and greet visitors, answer general university questions, manage incoming/outgoing mail, and maintain an organized, clean office environment.
  • Collect monthly department reports from IAA directors and consolidate them for the Vice President's review.
  • Conduct weekly College of Health Sciences course audits on Wednesdays and Fridays of each week.
  • Provide 2-4 additional hours of support each month for the Department of Academic Affairs, managing organizational charts, directories, and university awards.
  • Order and oversee office supplies, organize schedules for special visitors and provide administrative support to ensure efficient office operations.
  • Work with sensitive information with discretion to maintain confidentiality and security and ensure compliance with privacy policies and regulations.
  • Maintain physical and digital filing systems for the Vice President, use word processing and presentation software to create and edit documents, and ensure that deadlines are met effectively.
  • Presents a positive and professional image for the organization.
  • Work closely with other administrative staff and support other colleagues as needed.
  • Perform other duties as assigned to support the goals of the department and/or Logan University.

COMPETENCIES: Must be detail-minded and have good organizational, verbal, and written communication skills, including the ability to proofread own work for grammar and spelling. Must be able to work well independently and with others.

  • Bachelor's degree preferred or 5 years of related experience in a professional environment.
  • Experience managing a donor database or CRM.

  • Excellent interpersonal skills. Strong listening and problem-solving abilities with a positive, can-do attitude.
  • Ability to maintain high standards of ethics, integrity, and professionalism and to handle sensitive and proprietary financial information.
  • Working knowledge of Microsoft Office Suite.

COMPUTER SKILLS: To perform this job successfully, an individual should have a strong working knowledge of Microsoft products, such as Excel, Word, PowerPoint, and Publisher, and the ability to learn new programs as needed.
