Job Summary
The Catering Assistant is both an administrative role, and supportive role, within the Food and Beverage operation. The primary responsibility of this position is to assist the Catering Managers.
Duties/Responsibilities
Maintain the Club Wall Calendar
Copy and distribute daily change sheets
Be aware of all events in the clubhouse.
Develop ongoing dialogue and rapport with members and employees through recognition, communication and follow through
Cooperate with the Catering Managers to accomplish predetermined goals
Keep Catering Managers informed of all significant operating matters
Assist in the planning, organizing and execution of diverse assortment of banquet functions and club parties. Specifically, the planning of parties on the 2nd floor, committee meetings, member, golf and social events as assigned by the Catering Managers
Assist Catering Managers with Club Events
Preview the Club Messenger monthly
Order supplies for 3rd floor printer/daily office supplies
Occasionally show member/host through club facilities while offering suggestions to promote the merits of the club facilities for their upcoming event
For assigned booked events, work with and guide the member/host to propose menus, arrange times, develop floor plans, and arrange other details integral to their event
Procure outside services and equipment as requested by the member/host for each individual event.
Facilitate Banquet Event Orders detailing all information discussed with member/host and secure their signature
Communicate necessary information to Chef, Banquet Manager, Restaurant Manager, and other departments
Review details and represent member/hosts needs and interests at weekly Food & Beverage Meetings
Coordinate with Banquet Manager and Restaurant Manager to ensure all event requirements and objectives are accomplished.
Work closely with Banquet Manager on all floor plans
Assist with the maintenance of the club event calendar to ensure proper use of space consistent with club policy and regular established use
Inspect finished arrangements.
When requested, be present at events to greet the member/host, and guests, and to attend to any specific details
Maintain event file systems for past and upcoming events
Promote a positive work environment and a positive team atmosphere with all staff and management
Abide by all bylaws and policies set by the Board of Directors
Continue to acquire knowledge in the latest trend of event planning and service by reading trade publications, attending seminars, and furthering education
Any and all other duties as assigned by the Catering Managers, Asst. General Manager and/or the General Manager
