We are seeking a talented AP Coordinator to join our Finance Accounting Team! 

 Requirements/Qualifications 

  • Ensure timely processing and payment of AP invoices for multiple companies. Verify that invoices are accurate and appropriately coded.  Experience with AP Automation software is a plus.
  • Manage and maintain vendor files. Ensure all vendors are submitting electronic invoices and accepting ACH payments. Be vigilant in identifying and preventing AP fraud by utilizing double approval vendor process when entering new vendors in AP. 
  • Work with vendors to respond to payment inquiries, settle disputes, and resolve discrepancies.
  • Send weekly reminders regarding unapproved invoices on AP dashboard prior to processing weekly check run.
  • Work with AP Supervisor to identify any roadblocks/discrepancies that delay timely invoice processing
  • Code weekly credit card transactions / submit weekly reporting to management
  • Handle administration for the company postage and shipping accounts (USPS/FedEx/UPS)
  • Reconcile AP vendor statements; identify, research, and resolve any discrepancies
  • Collect W-9 forms and certificates of insurance
  • Process weekly payment runs
  • Post daily bank entries/auto payments
  • Proficient and accurate ten-key and keyboard data entry
  • Strong knowledge of Accounts Payable principles and processes
  • Basic knowledge and understanding of General Accounting Principles
  • Basic knowledge of business principles and processes
  • Protect organization by keeping information confidential
  • Maintain strong vendor relationships through effective communication
  • Ability to be resourceful and proactive in dealing with issues that may arise
  • Ability to organize, multitask, prioritize and work under pressure
  • Strong knowledge of Accounts Payable principles and processes
  • Basic knowledge and understanding of General Accounting Principles
  • Basic knowledge of business principles and processes
  • Bachelor’s or Associate accounting or business related degree and /or sufficient related work experience
