The Role: The Administrative Operations team at Personal Capital seeks an Office Manager to provide a wide range of support for our growing company. The ideal candidate adapts well to fast-paced environments, is a problem solver, and possesses the ability to provide a high degree of customer service and responsiveness. This position is full time, Monday-Friday (7:30 am – 4:30 pm, or as needed for event management), in Dallas, TX.


Specific duties include, but are not limited to:

  • General reception activities such as receiving phone calls and greeting and directing visitors, guests and visiting employees
  • General office support and duties such as scheduling, filing, mailing, shipping and delivery, faxing and scanning
  • Maintain the appearance and organization of the reception areas, conference rooms, kitchen, and other common spaces daily
  • Manage the ordering, receiving, stocking, distribution, and maintenance of kitchen and office supplies daily
  • Assist and implement special projects, programs, and procedures in various functional areas
  • Coordinate, plan, and execute company activities, events, and general catering
  • Vendor management, including legal assessments and Purchase Order creations within NetSuite
  • Assist with and facilitate office moves, relocations and/or expansions 
  • Assist in assignments or resolve problems that may be complex in nature where judgement and initiative are required
  • Handle sensitive and confidential information with discretion
  • Provide exceptional service and support to staff and visitors
  • Responsible for office emergency procedures
  • Act as liaison with building management
  • Managing building access for employees, visitors, and guests


Desired skills and experience:

  • 3-5 years’ experience in a similar role
  • Excellent written, oral and interpersonal communication skills
  • Proficient with technology (Microsoft Office Suite, G Suite, NetSuite)
  • Demonstrate common sense and sound decision making abilities
  • Strong attention to detail
  • Exceptional organizational skills
  • Able to multi-task in a deadline driven atmosphere
  • A self-starter eager to exceed objectives and take on more responsibility
  • A troubleshooter able to solve problems quickly and efficiently
  • Able to work in a dynamic, fast-paced environment
  • Must be able to lift 25 pounds
