PIXAR ANIMATION STUDIOS Assistant to the Director of Culinary Salary in the United States

RESPONSIBILITIES

• Act as a liaison between the Culinary Director, Managers, and team members
• Assist in and contribute ideas for departmental unity and team spirit
• Provide additional support to cafe staff (technical, administrative, record keeping)
• Support the Culinary Director with outward facing communications to the department and the Studio: artful signage, chalkboards, marketing materials
• Enter detailed, but concise, data into the digital menu program and Aloha POS; upload and generate sales reports as needed
• Assist with employee timecards, educational allowance submittals, and ordering small wares and supplies
• Identify areas for process improvements within the department and proactively share observations and ideas
• Manage and reconcile department petty cash, American Express account, expense reports, invoices and receipts
• Successfully manage the day to day tasks and operations, which may include but are not limited to:
  • Phone, email and slack correspondence
  • Update & publish digital daily menus
  • Shipping & Receiving
  • Contacts and electronic paper files
  • Office supply needs
  • Department manuals, processes, procedural documentation
  • Wiki updates
  • Organizational chart for department
  • Protect sensitive and confidential information

• Coordinate and maintain the Café calendars, confirm weekly agendas in advance and proactively handle changes in scheduling
• Plan and coordinate events, including department meetings and events, and outside vendor coordination, facilities, and facilitators
• Arrange, document and track all internal and external training and compliance 
• Review and submit travel expenses as well as department invoices for payment; initiate AP approvals, POs, and check requests
• Serve as a backup for café staff functions such as café host, catering & event coordination, and other duties as tasked
• Use and integrate software applications in managing and completing workload tasks
• Take notes at meetings and prepare reports for attendees; create briefing materials
• Partner with café leadership to maintain a positive team environment and represent the Café Team with a positive attitude and presence to Pixar employees, contractors, and guests
• Assist with special projects as needed

QUALIFICATIONS

• Demonstrated independent judgment and decision-making skills
• Demonstrated ability as a proactive problem solver; must have motivation and self-initiative
• Advanced knowledge of Apple Mac applications including MS Word, Powerpoint, Excel
• Excellent interpersonal skills in both verbal and written communication skills
• Ability to learn and become proficient using Cafe software tools (Catering Request System, Word Press, Aloha, Wiki)
• Experience as a proven team player and effective in role as technical resource
• Demonstrated ability to take initiative where appropriate, working independently and/or as part of a team
• Demonstrated ability to exercise excellent guest service, tact, courtesy, and good judgment in working with all levels of staff and outside clients
• ·Strong organizational skills and attention to detail required
• Consistent and regular follow through on all requests
• Ability to prioritize multiple requests and projects in fast paced deadline driven environment
• Demonstrated ability to maintain composure and focus in a demanding, fast-paced work environment 
• Bachelor’s degree preferred
• Minimum four years of administrative experience
• Experience and interest in food and food service preferred
• Proficient in Adobe Photoshop, Microsoft Office Suite, Wiki, and Google Calendar
• Advanced proficiency with excel, including formulas, to draft monthly reports and periodic reports for Manager
• Flexible nature with ability to prioritize, multi-task and follow through
