Position Overview:

The Business Office Manager is responsible for producing and collecting, all resident’s monthly billing statements, processing vendor invoices, making deposits, and supporting general accounting and payroll needs for the Administrative team. The Business Office Manager works with the Administrator on operating budgets and expense management.
 

Essential Job Duties:

  • Compile, reconcile, and calculate resident billing, charges, credits, and fees.
  • Act as point of contact for any questions regarding charges, credits, and fees for residents, families, and representatives.
  • Monitor and report regularly on past due accounts and any outstanding resident charge/balance items.
  • Timely preparation and submission of payroll on a bi-weekly basis.
  • Entering and ensuring accurate payroll deductions and issues credits when applicable.
  • Maintain confidential employee payroll files.
  • Coordinate resident entrance fee paperwork including community/entrance fees, cancellations and terminations, and necessary refunds.
  • Prepare schedules for external audits and serves as primary contact with auditors.
  • Review accounts payable invoices for accuracy, obtain proper approval, and ensures the invoice is paid.
  • Input vendor invoices into the accounting system and responds to vendor inquiries.
  • Coordinate accounting activities with corporate the office when necessary.
  • Maintain and run accurate reports and records for the Administrative office. 
  • Prepare annual budgets and specific monthly reports for the Administrator as directed.
  • Analyze financial statements monthly, prepare variance reports, and make recommendations to the Administrator about improving financial performance. 
  • Implement department budgets and approves/denies expenditures based on the allocations set by the Administrator.
  • Serves as department head for Accounting, including attending department head meetings, serving as a member of “manager on duty” rotation, and responds to emergencies as required. 
  • Perform other duties as assigned.

 

Qualifications:

  • Bachelor’s degree in accounting, finance, business, or related field, preferred.
  • Two years in Accounting, bookkeeping, and or related position preferably in the CCRC industry.
  • Great Plains accounting software experience preferred.
  • Experience in processing payroll.
  • Ability to develop constructive working relationships and partnerships with senior leadership and Boards; department heads, staff, and residents.
  • Decisive, action-orientation, displaying personal integrity and ability to persevere in difficult situations. 
  • Strong business acumen and financial skills; understand project budgeting, analysis, and evaluation.
