Position Overview:

The Executive Assistant (EA) provides support to the Administrator and Director of Health and Wellness. The EA will be responsible both for performing a wide range of administrative duties and assisting with special projects. The ideal candidate is highly self-motivated, professional, tactful, and capable of managing their workload and prioritizing tasks in a fast-paced environment.

Essential Job Duties:

  • Coordinate executive communications, including taking calls, responding to emails, and voice messages.
  • Interface tactfully and effectively with staff, Board members, and other constituents.
  • Prepare internal and external corporate documents for team members and industry partners.
  • Schedule meetings and appointments and manage travel itineraries.
  • Coordinate and complete special projects as directed.
  • Maintain an organized filing system of paper and electronic documents.
  • Uphold a strict level of confidentiality.
  • Perform other duties as assigned.


  • Bachelor’s Degree in Business, Communications or related field preferred, or an equivalent amount of professional experience.
  • At least three years of relevant experience as an Executive Assistant, ideally in a healthcare setting.
  • Excellent oral and written communication skills including the ability to communicate articulately and with a wide range of constituents.
  • Enthusiastic about working directly with older people and on projects that will improve the well-being of residents and patients.
  • Excellent analytical and problem-solving skills (e.g. being resourceful).
  • Demonstrated ability to prioritize multiple tasks and meet deadlines.
  • Demonstrated capacity for project management.
  • Ability to work proactively, both independently and with others in a team environment.
  • Ability to learn and adapt to changes quickly.
  • Computer software skills including proficiency in standard business applications.
  • Other duties as assigned
