Job Skills / Requirements

Oversees donor gift processing and contributed revenue reporting, ensuring accurate and timely entry and analysis for the Advancement Department. Manages the constituent database, troubleshoot database issues, and manages institutional constituent information. 

Duties and Responsibilities:

  1. Manages the input of daily donations and reports of all contributed revenue into the Museum’s constituent database and works interdepartmentally to assure accuracy.
  2. Assists with on-going upkeep, coding, and maintenance of both the advancement database and source documentation for all forms of donations.
  3. Oversees donor gift processing, working in collaboration with Finance Department.
  4. Attends trainings and works with Museum peers to learn best practices in museum database management. Recommends improvements and new strategies, system updates, as appropriate, to support giving to and participation at the Speed.
  5. Works closely with the Deputy Director of External Relations and Advancement, Museum Director, and the Advancement Department on contributed revenue reporting and analysis for internal and external needs.
  6. Acts as a liaison between Museum staff and the constituent database representative for resolving problems and meeting internal user needs.
  7. Performs day to day financial transactions, including verifying, classifying, computing, posting and recording revenue data.
  8. Manages process of pledge commitments, reminders, and receivable coding.

 

Qualifications:

  1. Bachelor’s Degree (preferably in Arts Administration, Business and Communications, or related field) or equivalent skills and experience.
  2. Experience with constituent database systems preferred.
  3. Experience with Microsoft Office applications, including Word and Excel.
  4. Strong verbal, interpersonal and organizational skills.
  5. Ability to work independently and as part of a team.
  6. Ability to become proficient with museum-specific software, including Altru.

Work Environment and Physical Requirements

  4. Sees and hears or uses prosthetics that will enable these senses to function adequately so that the requirements of this position can be fully met.
  5. Able to lift, push, pull, and move equipment, supplies, etc., of twenty-five (25) pounds throughout the workday
  6. Able to adapt to and work from various locations so the requirements of this position can be fully met.
  7. Willing, as necessary, to work beyond normal working hours, on weekends, and remains accessible when away from the Museum so the requirements of this position can be fully met.

 

Position Type/Expected Hours of Work

  • This is a full-time exempt position. This position is NOT eligible for overtime pay.
