AP Associate / Receptionist

This role is located at The Paper Stores’ Corporate Office in Acton, MA. This is a combined role of AP Associate and Receptionist. The AP Associate/Receptionist is responsible for general accounts payable responsibilities while sitting at the front desk and completing some administrative responsibilities.

KEY RESPONSIBILITIES:

• Be a TPS Brand Ambassador
• Review all invoices for appropriate documentation and approval prior to payment
• Process check requests and payments to vendors
• Manages new vendor setup and maintain current vendor records. Including maintaining current w9 for all 1099 vendors.
• Manage Accounts Payable vendor relationships
• Reconcile vendor statements; research and correct discrepancies
• Manages the company’s corporate purchasing credit card program.
• Complete and process year end 1099’s
• Purchase order three-way matching and processing of inventory payments
• Process non-inventory expenses.
• Maintains vendor files.
• Answer the corporate main phone line. Answer questions over the phone and transfer callers to the appropriate person or department.
• Greet and sign in visitors and vendors.
• Sort and distribute all corporate mail and packages.
• Maintain the organization and cleanliness of the kitchen.
• Perform other related duties as required and assigned.

• Excellent organizational, data entry, and general math skills.
• Ability to analyze information and manage vendor relationships.
• Knowledge of general accounting principles.
• Proficient in Word and Excel.
• Experience with Great Plains/Microsoft dynamics.
• Professional attire, demeanor and appearance required.
