Description

The ideal candidate will possess excellent verbal and written communication and proficiency in Microsoft Office applications and Yardi .  Self-starter who works independently and who is committed to learning.

 

Provides operational support to the Property Manager in the day-to-day management of a federally subsidized (or state-supported) apartment development for low-to-moderate income families. The Assistant assists in coordinating occupancy matters including, but not limited to; scheduling appointments, collection of pertinent information, service requests and rents. Assistant assists in the review and clarification of applications for admission to affordable housing and annual recertification & examination for continued eligibility.  

 

The Assistant must adhere to federal marketing guidelines for prospective tenants and assists in the implementation of policies and procedures to insure impartiality and maintaining a well-managed property.  The Assistant also engages in the activities of invoice processing, researching invoice discrepancies, corresponding with vendors and tenants and the inspecting of units with the Property Manager.

Qualifications


 Knowledge, Skills, and Abilities: 

  • Screen telephone calls
  • Assist in the preparation of weekly management reports.
  • Assist with the accounts payable and receivable process, coding and processing of invoices.
  • Maintain a waitlist of eligible applicants that is consistent with HUD guidelines and the property tenant selection plan (TSP).
  • Assist in posting rent payments in Yardi as directed by the Property Manager.
  • Assist with inspecting of units.
  • Create and distribute informational flyers, notices and correspondence to residents.
  • Record service requests and communicate those service requests with maintenance. 
  • Responsible for the recertifications process.
  • Maintain telephone entry system and key fob issuance and logs for tenant billings
  • Maintain up-to-date records of vendor invoices/contracts and assisting in checking them for accuracy.
  • Assist in the preparation of leases and lease documents with prospective and existing residents.
  • Must hold a Certified Occupancy Specialist (COS) designation, or obtain one within 120 days of employment.
