Village Health Partners is seeking experienced and reliable Patient Access Specialists to join our teams in Plano, Frisco, or McKinney. The Patient Access Specialist handles inbound and outbound scheduling communications for patients.  These communications involve a wide-range of clinical and administrative requests from patients and other stakeholders, including online chats, text messaging, emails, faxes, and telephone requests.

The Patient Access Specialist must be well versed in utilizing advanced information technology to process communications in a professional manner. Patient Access Specialists use pre-defined clinical protocols to obtain and document required information for appointment coordination and to proactively identify and communicate any additional patient needs, as well as any significant care and wellness gaps.

RESPONSIBILITIES:

  • Work VHP online services accounts to include Healow, ZocDoc, Portal, and Webchat:
    • Schedule, cancel, and reschedule appointments
    • Route messages appropriately
    • Messaging with patients via online chat and text
  • Troubleshoot portal issues
  • Answer incoming phone calls and schedule patient appointments
  • Communicate effectively and accurately with team members, patients, and patient family members using proper grammar, punctuation, and spelling. 
  • Follow documented protocols and procedures.
  • Appropriately escalates issues outside of existing protocols to meet the needs of the patient.
  • Verify and update patient insurance and demographic information.
  • Empathize with and coach patients in navigating the healthcare system.
  • Follow all HIPAA and privacy rules while discussing sensitive health information with the patient or their authorized delegates.
  • Meet performance and service level criteria as defined in “Performance Metrics.”
  • Work well with a diverse group of professionals in a team environment.
  • Proactively and professionally identify opportunities for improvement in work processes and/or setting.
  • Follow all clinical safety protocols and infection control procedures

QUALIFICATIONS:

  • 3 years scheduling or customer service experience in a healthcare setting
  • Superior customer service and communication skills.
  • Experienced in properly handling confidential and sensitive information; knowledge of HIPAA rules and regulations.
  • Experience with basic desktop software, medical practice management, and electronic medical record systems- E-Clinical Works (ECW) preferred
  • Fluent in English with excellent written grammar skills
  • Excel under pressure with attention to detail
  • Excellent verbal, written, and interpersonal communication skills.
  • Works efficiently and effectively in a fast-paced environment utilizing advanced communication technology.
  • Knowledge of and adherence to HIPAA rules and regulations, Bloodborne Pathogen & OSHA Safety procedures
