Job Posting for Office Administrator at Regulux Transport

*£144.00 - £168.00 per day (without VAT it is £120 - £140 per day)*

The role will include the day-to-day aspects of compliance, reporting, staffing and fleet management with small repairs if possible on the vans whilst also focusing on new projects and fleet strategy. The role requires someone who is happy to work in an environment of change and be able to make effective decisions quickly. Also, this job is NOT 9-5, it can be very challenging & long hours most days.

Key Accountabilities and Responsibilities:

Fleet Management:

  • Procurement of the fleet including negotiating new van prices, maintaining and developing new supplier relationships
  • Reviewing and agreeing specifications to the fleet vehicles
  • Working with existing and new suppliers to fit out vehicles
  • Vehicle compliance, Such as: MOT, Tax, Health and Safety
  • Service planners and maintenance
  • Daily and weekly spot checks
  • Reviewing fleet costs
  • Fleet rotation – identifying current fleet levels, reviewing the market for price and availability

People Management:

  • Recruitment, onboarding, and training of team members
  • Personal development including Annual appraisals and 121s
  • Individual and group contact with drivers including; Monthly meetings, daily catch ups, keep in touch calls
  • Escalation point within the team
  • Inter-departmental communications on a daily basis with a broad number of teams
  • Staff reporting including; rotas, timesheets, overtime.

Reporting:

  • Staff and fleet levels on a weekly basis
  • Holiday, absence and sickness reporting
  • Vehicle availability including damage reports
  • Accident reporting
  • Route availability on a daily basis working with the Logistics team
  • Risk and Health and Safety registers
  • Budgetary control including cost analysis and modelling

Process / Projects & KPIs:

  • Overview and maintenance of all fleet policies
  • Keep abreast of the latest legislation
  • Review fleet growth
  • Fleet strategy with regards to future hubs, truck and HGV usage in the fleet and associated compliance and training needs
  • Review of fleet operation structures such as hours

Skills Required

  • Driving license required
  • Intermediate excel knowledge required
  • 2 years previous database management required
  • System implementation experience preferred but not essential
  • Excellent communication skills; verbal and written. Ability to work with all levels of the business including the Senior Leadership Team required
  • Experienced people management required
  • Ability to work on new projects at short notice and be agile in approach to solving challenges

Job Types: Full-time, Part-time

Schedule:

  • 10 hour shift
  • 12 hour shift
  • 8 hour shift
  • Monday to Friday
  • Weekend availability

Supplemental pay types:
