Role Description:
BNNano is looking to hire a part-time Office Manager to be responsible for the general operation of our office. Duties will involve answering incoming emails, entering purchase orders, organizing staff travel, light bookkeeping, and collaborating with our office staff to ensure maximum productivity.
To be a successful hire, you will need to have prior experience in office administration. You will also need to be proficient in Microsoft Office applications such as Word and Excel. You will be well-organized, have great time management skills and be able to act without guidance.

Essential Duties & Responsibilities:
Office Manager Duties
- Overseeing general office operation.
- Ability to answer our main line telephone and general email correspondence.
- Producing reports, composing correspondence.
- Act as point of contact for executives, employees, clients and other external partners
- Manage information flow in a timely and accurate manner
- Take minutes during meetings
- Filing NDA’s and other paperwork
- Completing purchase orders
- Data entry for vendors, supplier information and other business necessities.
Executive Assistant Duties
- Coordinating domestic and international travel, including flight, hotel, and car rental reservations.
- Coordinating appointments and meetings and managing staff calendars and schedules.
- Creating or assisting with and proofreading communications, presentations and other management-level documents. Format information for internal and external communication – memos, emails, presentations, reports.
- Managing social media accounts, postings.
Light Bookkeeping Duties
- Rack expenses and prepare reports as needed
- Reconcile bank statements
- Enter transactions into QuickBooks
Minimum Qualifications (Knowledge, Skills and Abilities):
- A bachelor’s degree or equivalent.
- 3-5 years of experience in office administration.
- Office management experience.
- Excellent computer skills, including a high degree of proficiency in Microsoft Word, Excel, Outlook, and PowerPoint.
- Work experience as an Executive Assistant, Personal Assistant or similar role preferred
- Outstanding organizational and time management skills
- Excellent verbal and written communications skills
- Discretion and confidentiality
Physical Demands and Work Environment
- This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, cameras, photocopiers, and filing cabinets.
- While performing the duties of this job, the employee is regularly required to talk, hear, and sit. The employee frequently is required to stand, walk, use hands to handle or feel, and reach with hands and arms. The employee must occasionally lift and/or move up to 35 pounds.
