SUMMARY
The office manager is the Face of Everstream. Often times this is the first person an employee, customer or visitor interacts with when visiting or contacting an Everstream office. It is vital that the person in this role understands the importance of that first impression and has the professional demeanor and understanding to make Everstream look its best with each interaction. In addition, the role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety. Ultimately, the Office Manager should be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operation.
PRIMARY RESPONSIBILITIES
Office Management
  • Manage reception area, including visitors, phone calls, mail and deliveries
  • Coordinate catering needs for meetings and office events
  • Ensure the office space is kept clean, safe and fully functional; respond to issues in a timely manner by alerting building management/outside vendors when repairs are necessary
  • Maintain communication with cleaning company to ensure quality/consistency of work
  • Coordinate maintenance and service on office machines as needed
  • Manage inventory of supplies, ensuring appropriate levels are maintained at all times
  • Maintain functional use of Supply Room and Kitchen
  • Establish and maintain parking garage access for employees and visitors
Administrative Support
  • Provide general departmental support for copying, filing, creating mailing labels, preparing mailings
  • Oversee conference room schedules and ensure the rooms are always kept in good condition
  • Prepare and deliver administrative expense reports
  • Complete departmental projects as assigned
  • Provide support to management as needed
  • Participate in the Culture Committee and support its mission and endeavors
  • Show new employees around the office and introduce them to team members.
  • Collect forms for new employees as requested by HR
  • Assist with internal employee communications efforts
  • Coordinate monthly staff meeting invitations/reminders/catering needs
  • Management of fleet vehicles
  • Special projects for different departments as needed.
REQUIREMENTS
Required:
  • High School Degree (advanced coursework desired)
  • 2 years’ experience delivering high-quality, professional administrative support
Desirable:
  • College degree
  • Excellent interpersonal skills; ability to get along with diverse personalities: exhibit tact, professional attitude, maturity and flexibility
  • Detail oriented, highly organized, strong task management skills
  • Self-directed, able to complete projects/tasks with limited supervision
  • Strong project coordination skills with the ability to leverage others in order to complete projects
  • Rock-solid Microsoft Office skills - Word, Excel, PowerPoint and Outlook
  • Ability to handle key assignments of confidential nature and maintain highly confidential information
  • Ability to build professional and respectful working relationships at all levels (internally and externally)
  • Passion for using technology solutions to solve business needs
  • A creative mind with the ability to suggest improvements
