The Ipswich Local News, a beloved non-profit print and online weekly newspaper, seeks a full-time office manager to join our growing team. Our mission is to provide trustworthy local news serving the town of Ipswich and the neighboring town of Rowley. We are funded by advertising sales, some grants, and donations from our readers.
The office manager is responsible for the smooth day-to-day operations of the Ipswich Local News. As a very small non-profit operation, you’ll work closely with the entire team, from editorial and production, to advertising sales and bookkeeping.
The nature of the work requires a detail-oriented individual.
This position reports to the publisher.
The duties of the Office Manager include, but are not limited to:
- Administration of accounts payable and collect receivables
- Assist customers and vendors
- Collect mail at the Post Office
- Prepare and complete bank deposits
- Onboard freelancers and employees
- Assist and participate in fundraising campaigns and special events
- Assist the publisher with grant applications
- Manage donations and update donor software
- Prepare thank you letters to donors
- Work closely with advertising rep and deputy editor to review and ensure accuracy of weekly ad run sheets
- Create monthly billing sheets for bookkeeper and provide EOM information on an as needed basis
- File necessary reports, pay fees, etc.
- Implement an efficient system for others to access files and records.
- Organize and maintain documents on Google Drive.
- Other duties as required
Must haves:
- 1 -3 years of administrative/office experience
- Outstanding organizational and interpersonal skills
- Extremely well organized and detail oriented
- Must be a self-starter, and have a strong desire to meet goals.
- Enthusiasm for working with a small team in a non-profit setting
- Flexible and comfortable with deadlines
- Competent Office skills including computer, copier, scanner
- Proficiency with Microsoft Office, especially Excel
Nice to Haves
Interest in local journalism and mission driven non-profits.
Experience with basic cash management
Familiarity with Quickbooks Online and donor tracking software (Little Green Light)
Familiarity with social media and posting
Education and Experience:
- High school diploma or equivalent required; Associate's degree in office administration or related field preferred.
- At least one year of administrative and clerical experience is required.
Requirements:
Office Manager position is primarily off-site, with weekly on-site staff meetings required at 54 N. Main St. Ipswich, MA.
