Schedule: Monday- Friday, 7:00 AM- 4:00PM
Pay Rate: $18.00 per hour
Parking is free
Day to Day Responsibilities for a Sr Receptionist & Switchboard:
o Perform reception duties in such a manner as to represent the customer with the highest level of professionalism.
o Meet, greet and direct all visitors and teammates in a friendly, professional manner.
o Take care of voicemails.
o Answer all Reception emails and transfer them to the right person or department.
o Check in visitors, guest, vendors and responsible for maintaining visitor’s log.
o Notify employees of guest arrivals.
o Follow Covid-19 Registration Procedures
o All switchboard functions to include answering and directing calls.
o Handle employees request, including putting work orders
o Place a service call with some vendors
o Provide Guest and Vendor Badges
o Receive, sign, and notify teammates about specialty package deliveries and pick-ups
o Conference Room Booking
o Check American Flag Etiquette-Consult website.
o Respond to emergencies such as Fires Candidates
Type of candidate who is successful in this role would have the following skill:
o Provides exceptional service to the business from greeting all incoming customers, clients, and visitors to acting as site information resource to all.
o Create and maintain a professional image of the company by providing prompt, courteous and efficient service at all times.
o Meet, greet and guide all visitors and staff in a friendly and courteous manner to ensure that their passage into the premises is as smooth as possible
o Maintain a pristine environment including reception area and lobby.
o Communicate with internal departments to address special cleaning needs during the day
0 Assist all personnel and guests with site services and amenities including badging, Wifi/IT inquiries, catering/cafeteria/vending service availability and locations, meeting room guidance
o Distributes name badges to visitors, temporary employees, etc.
o Answers and transfers calls
o Participates enthusiastically in company and community service events.
o Perform site inspections and work with vendors to ensure property is maintained to highest standards. Work with vendors as needed (i.e cleaners, interior plant/landscaper, facilities, security, etc).
REQUIREMENTS:
- Requires high school diploma, GED
- Previous receptionist experience/admin support preferred
- Performs PC Support and Administrative duties as needed
- Excellent Microsoft Excel and Word skills.
- Superior customer service skills, a professional demeanor
- Significant customer relations skills and savvy.
- Excellent communication skills, both verbal and written.
- Problem-solving skills, and ability to multi-task.
- Strong customer service and professional presence/appearance.
- An understanding or ability to understand general business practices.
- Ability to review and understand simple and complex instructions. May provide basic information.
- Ability to manage conflicting priorities
- Maintain friendly and approachable demeanor
