What are the responsibilities and job description for the Billing Clerk position at Ledgent?
Growing Gibsonton company is seeking a billing clerk that will be respeonsible for managing and overseeing the billing process for multiple projects. Day to day duties will include:
- Generating Invoices for Projects: Preparing detailed invoices based on project milestones, phases, or completed work, often in accordance with contract terms.
- Tracking Project Costs: Monitoring and recording all expenses related to construction projects, including materials, labor, and subcontractor costs.
- Lien Waivers and Releases: Preparing and managing lien waivers and releases to ensure payments to contractors and subcontractors are documented properly.
- Change Orders: Processing and billing for change orders, which are modifications to the original scope of work that can affect project costs and timelines.
- Progress Billing: Creating progress billings that reflect the percentage of work completed at various stages of the project, common in long-term projects.
- Retainage: Managing retainage, which is a portion of the payment withheld until the project is satisfactorily completed.
- Compliance with Contract Terms: Ensuring all billing is in line with the specific terms and conditions of contracts, including payment schedules, terms, and conditions.
- Communicating with Project Managers: Collaborating with project managers and site supervisors to gather necessary information and ensure accurate billing.
- Accounts Receivable Management: Tracking and following up on outstanding invoices to ensure timely payments from clients.
- Financial Reporting: Preparing reports on project finances, including costs, revenues, and profitability, to assist in financial planning and decision-making.
- Documentation and Record Keeping: Maintaining thorough records of all billing-related documents, such as invoices, receipts, contracts, and correspondence.
- Handling Discrepancies: Addressing any discrepancies or disputes related to billing, working to resolve issues.
