The Meetings & Logistics Coordinator will be responsible for managing and coordinating meeting spaces and events. The ideal candidate will have strong organizational skills, experience in event planning, and the ability to work closely with vendors. This role also involves assisting in the budgeting process and collaborating with the team on the annual meeting. The position requires immediate availability.
Key Responsibilities
- Meeting Coordination: Plan, coordinate, and manage meeting spaces and logistics for various events.
- Vendor Management: Work closely with vendors to ensure smooth execution of events and meetings.
- Budget Assistance: Assist in the preparation and management of budgets related to meetings and events.
- Annual Meeting: Collaborate with the team to plan and execute the organization's annual meeting.
- Logistical Support: Provide logistical support for all events, including setup, breakdown, and troubleshooting during events.
- Communication: Maintain effective communication with internal and external stakeholders to ensure all logistical needs are met.
- Documentation: Maintain accurate records of all event details, including contracts, budgets, and schedules.
Qualifications
- Previous experience in event planning, meeting coordination, or a related field.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal skills.
- Ability to work collaboratively in a team environment.
- Proficiency in Microsoft Office Suite and event management software.
- Attention to detail and problem-solving abilities.
