OVERVIEW & RESPONSIBILITIES
The Office Manager is responsible for the organization and coordination of office administration and procedures while ensuring efficiency, communication and safety. This position is primarily responsible for but not limited maintaining the billing system, collections, processing payables, negotiating with vendors, tracking client due dates, managing employee benefits and providing general office support. The Office Manager is responsible for managing internal office communications, preserving office procedures, and overseeing inventory control. In addition, the Office Manager will provide support by answering and directing phone calls, welcoming clients, fielding and resolving client questions, and schedule appointments. The Office Manager will act as the main point of contact for all office administration inquiries and requests.

  • Maintain billing system, collections and payables
  • Manage relationships with vendors and service providers to ensure invoices are accurate and paid timely
  • Manage client phone calls and transfer calls as needed
  • Work with vendors and services providers to manage contracts and price negotiations
  • Review client due dates and inform appropriate associate of upcoming task
  • Manage the employee benefit process to ensure accurate use of benefits
  • Respond to calls, emails, and routine letters; direct inquiries to the appropriate person
  • Greet visitors and direct them to the appropriate person or department
  • Manage executives’ schedules, calendars and appointments
  • Work with Human Resources to maintain office policies and procedures
  • Coordinate with IT department on all office equipment
  • Arrange, coordinate, and schedule meetings; prepare meeting documents
  • Coordinate conferences; complete conference registrations for company employees
  • Complete travel forms and make travel arrangements for office personnel
  • Compile data and prepare reports
  • Maintain updated contact information for company employees, suppliers, and customers; keep such information confidential
  • Participate in the planning and execution of company events
  • Fulfill other administrative duties as needed

QUALIFICATIONS & REQUIREMENTS

Education & Experience

  • Minimum of 3 years of experience as an office manager or administrative assistant required
  • High school diploma or equivalent preferred
  • Proficiency with Microsoft Word, Excel, PowerPoint and Outlook
