Position Overview: We are seeking a highly organized and motivated Office Manager to oversee the daily operations of our small office environment. The ideal candidate will be looking for a long-term position to grow in as the company grows. Preferably with a strong background in managing office functions, excellent communication skills, and a proactive approach to problem-solving. In this role, you will ensure the smooth operation of our office and contribute to the overall efficiency of our property management services.
Key Responsibilities:
- Oversee and manage day-to-day office operations, including scheduling, office supplies, and maintenance of office equipment.
- Act as the primary point of contact for tenants, property owners, and vendors, addressing inquiries, concerns, and maintenance requests promptly.
- Coordinate property management activities such as lease administration, rent collection, and tenant communication.
- Maintain and update property records, including lease agreements, maintenance logs, and invoices.
- Collect and process rental applications.
- Facilitate the onboarding of new tenants and ensure a seamless transition into the property.
- Organize and coordinate property inspections, maintenance schedules, and repair requests.
- Provide administrative support to other team members as needed.
Qualifications:
- Strong organizational and time-management skills with the ability to handle multiple tasks simultaneously.
- Excellent communication skills, both written and verbal, with a customer-focused approach.
- Proficiency in online office applications (e.g., Microsoft Office Suite, Google Workspace).
- Ability to handle sensitive information and maintain confidentiality.
- Strong problem-solving skills and attention to detail.
