What are the responsibilities and job description for the Group Sales Associate position at Under Canvas?
POSITION OVERVIEW:
Enthusiastically and successfully sell Under Canvas glamping (“glamorous camping”) venues to prospective groups including corporate retreats, wellness weekends, yoga retreats, weddings, family reunions, and more. Both our venues and processes are highly unique in comparison to a typical hotel; an ability to approach problems creatively and adapt to new challenges will be essential to success in this role. Under Canvas’ mission is to inspire connections with extraordinary places, people, and the planet by enhancing access to the outdoors. The Group Sales Associate must be fully committed to this mission while promoting Under Canvas to potential groups.
RESPONSIBILITIES:
- Quickly respond to prospective clients’ phone and email inquiries with personalized information
- Follow-up with past clients and inquirers to win new and recurring business
- Build tailored quotes and write contracts
- Competently explain rates, taxes, fees, attrition, and billing schedules to clients
- Collect deposits on time, always considering any recent adjustments made to the group’s needs
- Navigate hotel property management system to evaluate rates and availability, enter rooming lists, setup billing, and more
- Be “the expert” for clients by obtaining a clear understanding of Under Canvas’ numerous venues and diverse capabilities to match clients with the best fit for their group
- Work closely with the Revenue Management team to negotiate pricing and terms
- Make deliberate decisions, problem solve, and dig deeper when faced with a challenge
- Arrange site tours to engage the client and close business
- Oversee the entire sales and planning process from contracting through hand-off to camp staff, including logistics, vendor coordination, and F&B planning
- Follow up post-event to obtain feedback, handle final invoicing, and to seek repeat business
- Develop strong relationships with operational staff at each venue to ensure event’s success
- Represent Under Canvas positively and with enthusiasm for our core values
- Immerse yourself in serving our clients throughout the entire process

WHAT IT TAKES:
- At least 2 years of hotel sales experience required
- Occasional travel required up to 15%
- This is a remote position, but we prefer candidates based in Bozeman, MT or Denver, CO
COMPENSATION:
Under Canvas strives to provide a comprehensive benefits and compensation package that addresses the needs of our team members. The salary range for the Group Sales Associate is $50,000 - $60,000 annually depending on experience with up to 10% bonus potential. In addition, they can participate in the company’s health insurance plan, 401(K), purchase gear from industry pro-deal programs, and take advantage of Under Canvas’s employee purchase plan.
