About the Role
They are seeking a Document Control Specialist to help clean up their SharePoint archives and improve on the established document structures. A number of projects have 'unclean' document repositories and support is needed to 'cleanse' them.
This will be a short-term contract, 3-4 months, to help clean up and organise document archives. You will play a critical role in ensuring that all project documentation is correctly managed, stored and easily accessible within the SharePoint system. This role is perfect for someone who enjoys organising and streamlining document repositories and has a keen eye for detail.
Key Responsibilities
What you'll be doing in this role:
- Document Organisation: Review and clean up existing document archives in SharePoint, ensuring that all documents are filed correctly according to our established structure.
- Document Management: Work closely with project teams to ensure documents are moved to the correct folders and adhere to the company's document management protocols.
- Project Coordination: Project manage teams to ensure efficient and accurate document handling, ensuring that all stakeholders are aware of document management procedures.
- Quality Assurance: Verify that all documentation is complete, accurate, and up-to-date. Ensure the quality and consistency of the document control processes.
- Reporting: Prepare and maintain registers and reports on document status and submissions, ensuring timely distribution to all relevant parties.
About You
To be successful in this role, you should have:
- Experience with SharePoint: Proven experience in managing and organising documents within SharePoint, including knowledge of document control principles and applications.
- Attention to Detail: A meticulous eye for detail to ensure all documents are accurately filed and organised.
- Organisational Skills: Highly organised with the ability to manage multiple tasks and priorities effectively.
- Communication Skills: Strong communication skills to liaise effectively with project teams and ensure compliance with document management procedures.
- Team Coordination: Ability to work collaboratively with various teams and potentially manage project tasks to ensure document control standards are met.
- Technical Skills: Proficiency in the Microsoft Office suite and familiarity with document management systems.
