What this opportunity involves:
We are currently seeking an experienced and highly motivated Executive Team Assistant to join our Logistics & Industrial team in Victoria. In this role, you will provide essential administrative and financial support to our Industrial Directors and team, enabling them to increase their effectiveness and drive financial performance in the Commercial market.
An overview of the role:
- Work closely with the support staff to ensure timely and accurate work
- Coordinate internal and external meetings and teleconferences, including agenda preparation, minutes and actions, meeting room bookings, and catering arrangements
- Attend team and support staff meetings
- Organize couriers and deliveries as needed
- Maintain consistent communication with the team to stay updated on ongoing priorities
- Handle day-to-day filing tasks
- Process supplier invoices and manage department expenses
- Book travel and accommodations
- Generate agency agreements, annexures, and addendums
- Prepare and distribute letters and campaign documentation
- Manage agent pipelines and fee forecasts
- Assist with team expenses and new starter setup
- Liaise with conjunctional agents
Sound like you? This is what we’re looking for:
- Proven experience as an executive assistant or similar administrative support role
- Familiarity with financial management processes
- Strong proficiency in Microsoft Office programs, including Word, Excel, PowerPoint, and Outlook
- Excellent organizational and time management skills
- Ability to multitask and work under tight deadlines
- Attention to detail and accuracy
- Excellent verbal and written communication skills
