Located in Toronto, the Art Gallery of Ontario is one of the largest art museums in North America, attracting approximately one million visitors annually. The AGO Collection of more than 120,000 works of art ranges from cutting-edge contemporary art to significant works by Indigenous and Canadian artists and European masterpieces.
We are currently seeking a Payroll Administrator to join our Total Rewards team. Under the direction of the Manager, Total Rewards the incumbent will assist with processing and administering employee total compensation data. They will participate in timely payroll processing, maintain compliance with relevant regulations and provide excellent support to employees regarding payroll related inquiries.
What is this position responsible for?
- Receives documentation for all employees from Supervisor, Payroll and Attendance; verifies accuracy and inputs payroll information.
- Processes employee related information through HRIS including new hires, rehires transfers and terminations; maintains integrity of data and verifies accuracy of all documentation.
- Gathers and processes PT payroll data transactions and ensures that payroll is completed accurately and on time including identifying and addressing issues/errors with respective managers/timekeepers; and obtaining appropriate approvals. Back up for Supervisor, Payroll and Attendance to transmit full payroll to bank.
- Manages payroll-related task, including direct deposits, wage garnishment and tax withholdings. Reviews part-time calculations and contacts managers/timekeepers for missing data. Responds to management and staff inquiries related to the scope of the work.
- Prepares termination forms and send communication on terminations.
- Calculates retroactive pay and lieu of benefits for part-time employees, step increases for part time and full time employees (runs trial and mass updates), prepares and sends step increase letters). Enters statutory holiday entitlement for part-time employees per Employment Standards Act and CBAs.
- Prepares Records of Employment as required; maintains and updates payroll records and files for employees (when on site). Provides reports for end of work term, multiple positions, each biweekly cycle.
- Conducts regular audits to ensure payroll accuracy and adherence to policies
- Ensures accuracy and quality of the Part Time payroll operations by organizing transaction records and reports for verification by the Supervisor, Payroll and Attendance.
- Verifies and time and attendance entries for full time employees.
- Assist with the implementation and maintenance of payroll software and updates; troubleshoot and resolve issues related to payroll systems and processes.
- Utilize payroll software and systems to process payroll and generate reports
- Provides first point of contact for in-person inquiries on Payroll, Compensation, and Benefits. Provides general information regarding division’s services and refers questions to the appropriate department and staff members.
- Assists People team members in development and delivery of projects as required.
- Maintains the confidentiality of employee records and ensures compliance with established policies and procedures regarding the release of information.
- Address employee inquiries regarding payroll, deductions and benefits.
What are we looking for?
- Working knowledge of payroll practices and benefit/pension administration and procedures.
- Payroll Compliance Practitioner (PCP) certification an asset.
- Relevant experience with confidential payroll and benefit administration.
- Demonstrated accounting and mathematical skills to process payroll and benefit programs.
- Proficiency in Kronos and other payroll software.
- Working knowledge of Employment Standards Act, 2000 and collective agreements relating to compensation and benefits.
- Well developed verbal, written communication and interpersonal skills.
- Well developed organizational and time management skills.
- Detailed oriented with strong analytical and problem-solving abilities. Capable of addressing and resolving complex payroll issues efficiently.
- Demonstrated knowledge and skills in use of computer software applications including word processing, database, spreadsheet, presentation and HRIS.
- Preference given to experience working in unionized environment.
