Position Overview:

As the Event Manager, you will play a key role working with top-tier clients in a fast-paced environment, managing all aspects of communications and logistics through live events, including creative, sourcing, attendee management, venue logistics, production, and budgeting. You will own various event aspects including project management of all associated deliverables (including creative assets, attendee collateral and production elements) and ensure any required scope change is managed effectively.

What you’ll do:

  • Work closely with the client or clients to develop and manage event logistics and communication plans to meet all client objectives, including creative, sourcing, attendee management, venue logistics, production, and budgeting.
  • Support the development, distribution and action planning of project/opportunity briefs and proposals as required.
  • Develop and maintain in-depth knowledge of the client's business and participate in client meetings to remain as the main client contact for all project details and financials.
  • Ensure roles and responsibilities are clear on each project team and delegate tasks as required to assigned Event Coordinator.
  • Develop and maintain an event critical path to ensure effective timelines are met and seamless delivery of event(s).
  • Manage project budget, identify cost saving opportunities while ensuring change to scope is effectively managed and accurately reflected to make sure cashflow and profitability are maintained and communicated to the client and project team.
  • Manage all assigned events to ensure effective client and team communication, troubleshooting where necessary to ensure flawless delivery as measured by high client satisfaction.
  • Take ownership of various event aspects including project management of all associated deliverables (including creative assets, attendee collateral and production elements) and ensure any required scope change is managed effectively.
  • Source, contract and manage suppliers, vendors, food and beverage, venues to negotiate for best value.
  • Plan, conduct and execute site inspections, site preparation, and onsite event delivery.
  • Oversee development of all onsite delivery documents (i.e., program outline, function sheets, TD binders, staff schedules, etc.).
  • Lead the on-site team and establish a clear communication plan; set cadence of status meetings and method of information transfer (internal and external).
  • Complete client post event briefing including communication of post event report to client and teams.
  • Prepare, review, and transition all budget information to Program Accounting for final reconciliation.
  • Provide training, mentoring, and counseling to new team members on client processes, tools, and procedures.

What you’ll have:

  • A minimum 5-7 years’ experience of relevant, full scope event management, within a project-based, client-centric environment which includes experience in event, incentive travel or a project management environment.
  • A post-secondary degree or diploma in Marketing, Events, Communications, or related field or program is ideal.
  • Strong proficiency with Microsoft Excel and experience with Microsoft Office Suite -including Word, PowerPoint, and Outlook.
  • Willingness and flexibility to work outside of regular operating hours including extended hours, holidays, and weekends and travel as required.
  • Excellent interpersonal, planning, organization, presentation, and professional communication skills (written and verbal) are a must.
  • Bilingual language skills (French/English) - written and verbal is considered an asset.
  • Proven ability to meet tight deadlines while handling multiple projects simultaneously and thriving in a fast-paced environment with changing priorities.
  • Strong analytical, budget, critical path management, and problem-solving abilities.
  • Demonstrated track record of using innovation to deliver service excellence with a keen eye for detail.
