The Canadian Home Products Trade Association (CHPTA) has been an industry voice since 1968. The Association continues to serve and represent manufacturers, brand owners and sales agents working within the Canadian home products industry, but also looks to offer value to other sectors of the industry including retailers, dealers, distributors, builders, suppliers, tradespeople and end consumers.

Key Responsibilities

As our Event Planner & Executive Administrator, you must have strong leadership skills to oversee all day-to-day aspects of both Associations and be the person who can work with all departments to ensure all tasks are on track.

  • Planning and executing, including budgeting and closings, for all events. These include Golf Tournaments, Trade Shows, Awards Presentations, Conferences, Education Seminars, Board Meetings, etc.
  • Oversee and participate in all Committees to drive social and professional events and drive sponsorships.
  • Conduct venue location research and contract negotiations, and build relationships with suppliers.
  • Provide administrative assistance to the President.
  • Maintain Office services by organizing Office operations and procedures.
  • Preparation for all Board meetings, active involvement in Board meetings, ability to present at Meetings if required. Prepare Minutes and follow up.
  • Oversee website updates and changes, job board, social network posts.
  • Cloud-based database management. Must be able to learn our system and grow the database. This is key!
  • Work closely with Bookkeeper to ensure all financials are up to date and reported accordingly (budgeting, reconciliations, and forecasting).
  • Review monthly finances, revenue, balancing out all sales and expenses, reporting results to President.

Qualifications

  • Post secondary education, preferably in Event Planning and/or Administration
  • Ability to communicate in French an asset
  • Minimum 3 years working experience in both Event Planning and Administration
  • Class G Driver’s license with own car (mileage re-imbursed). Must be able to travel (USA & Canada) and travel onsite to events in the GTA, sometimes after regular business hours
  • Excellent Microsoft Word & Excel Skills
  • Strong time management skills to effectively plan and prioritize multiple events simultaneously
  • Excellent hospitality and customer service skills to provide a positive experience for clients and guests
  • Understanding of restaurant operations for coordinating food and beverage services during events
  • Exceptional organizational abilities to manage details, budgets, and timelines
  • Ability to upsell additional services or upgrades to clients
  • Demonstrated leadership skills
  • Handle any issues or emergencies that may arise during events
  • Punctual & detail oriented

A full-time position is preferred but we will consider hiring two qualified part-time candidates and create a flexible job sharing opportunity.

Pay: $28.00-$30.00 per hour

Expected hours: 20 – 40 per week
