The Role:
As a Project Administrator, you will play a vital role in supporting our engineering projects by providing support and ensuring the smooth coordination of project activities. This position offers an excellent opportunity for someone with strong organizational skills and a passion for supporting project teams in a dynamic and fast-paced environment.
The ideal candidate will have the following background, skills and attributes:
- 3-6 years of experience in project administration or a similar role, preferably within the engineering or construction industry.
- Strong organizational skills and attention to detail, with the ability to prioritize tasks and manage multiple projects simultaneously.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and project management software.
- Excellent communication skills, both written and verbal, with the ability to interact professionally with internal teams, clients, and stakeholders.
- Proactive attitude and willingness to take initiative in a fast-paced and dynamic work environment.
- Post-secondary education in business administration, project management, or a related field would be considered an asset.
- Familiarity with project management processes and terminology is an asset.
Key Responsibilities
- Assist project managers with the coordination and administration of projects, including scheduling meetings, preparing project documentation, and maintaining project files.
- Serve as the primary point of contact for project inquiries and communications, both internally and externally, ensuring timely and accurate responses.
- Coordinate project logistics, such as travel arrangements, equipment procurement, and subcontractor coordination, to support project execution.
- Track project milestones, deadlines, and deliverables to ensure projects stay on schedule and within budget.
- Prepare project reports, presentations, letters, transmittals and other documentation as required, ensuring accuracy and completeness.
- Assist with financial tracking and invoicing for projects, including monitoring project budgets, preparing invoices, and following up on payments.
- Support project teams with administrative tasks, such as organizing meetings, preparing meeting agendas and minutes, and maintaining project calendars.
- Coordinating internal and external meetings and travel as required.
- Formatting and editing documents as required.
