We are looking for a part-time Clinic Coordinator which will transition into full time:

Shifts may vary. Hours of operation: Monday – Friday: 9am – 9pm, Saturdays : 10am – 5pm and Sundays: 12-5pm.
Must be available to work evenings and weekends

Massage Experts is immediately looking for an outgoing Clinical Coordinator to join their team of Experts. This position is part-time, transitioning into full time. The winning administrative candidate must have previous customer service and or business, organization and people experience. We are a thriving, health-focused clinic. Our Front Desk is at the forefront of the organization, and welcoming new clients and loyal members to our busy clinic.

Working alongside leaders within the health services industry, you will be taking the brand to the next level with your highly skilled customer service skills, your keen eye for detail in administration and your entrepreneurial spirit providing innovative ideas to increase revenues. 

JOB DESCRIPTION: 
Reporting to the Clinic Owner, this position will be working in a team environment, greeting clients, managing files, answering phones, booking appointments, providing knowledge-based opinions, managing insurance claims, increasing repeat business as well as being the right-hand in all things governing the smooth operations of the clinic. Our Clinical Coordinators must be extremely well-organized and quick thinking. It is extremely important that the Clinic Coordinator is highly computer literate. They must be able to multitask and toggle between various computer programs and clinic tasks seamlessly and fast. They must always have a welcoming smile on their face, and in their voice. 

RESPONSIBILITIES: 

  • Always provide in-depth knowledge of the benefits of Club MEx membership
  • Build clinic loyalty by exceeding service expectations and relationship building
  • Providing excellent assistance to both staff and clients
  • Providing a hospitable experience to all clients
  • Manage appointment bookings
  • Submit and process insurance claims
  • Ensure the clinic is clean and laundry done at all times 
  • Data input and filing 
  • Answer telephone and provide clinic information to callers 
  • Daily financial reconciliation
  • General administrative and clerical support 
  • Other duties as assigned by Clinic Owner, Director and Corporate Office

CANDIDATE QUALIFICATIONS: 
Ideal candidate will have graduated from a college diploma within the last 4-years in sales, marketing, admin or medical office. They must be able to act as a liaison to the brand, a concierge to the clinic and a multi-tasker extraordinaire to their clients and colleagues.

JOB REQUIREMENTS:

  • Communication fluently written and spoken in English
  • Any other language will be considered an asset
  • Insurance processing experience is an asset
  • Previous experience working in a professional office environment
  • Experience in customer service or sales, over the phone or face to face
  • Comfortable with basic computer widows-based programs
  • Ease of using Microsoft Office products 
  • High degree of accuracy in clerical data entry functions
  • Clean criminal record
