McMan is recruiting for an Executive Assistant to join our team providing confidential technical and administrative support to the Executive Director. This is a part-time position of 32 hours per week.
DUTIES AND RESPONSIBILITIES
The Executive Assistant provides timely, accurate and efficient support to the Executive Director. This role is responsible to research information, draft both internal and external correspondence, coordinate and schedule meetings including Provincial and Regional Board meetings, Agency meetings, team meetings, and external meetings, both in virtual and in person settings.
Some of the key aspects of this role include:
· Produce quality information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics
· Read, research, and route correspondence; draft letters and documents; collect and analyse information
· Prepare reports by collecting and analysing information
· Maintain confidentiality and protects operations by keeping information confidential
· Provide historical reference by developing and utilising filing and recording meeting discussions
· Maintain Executive Director’s appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel
· Set up and maintain the calendar for all deadlines and major activities and send reminders to relevant Managers, directors and external stakeholders
· Prepare both provincial and regional board meeting packages which include l Human Resources statistics, combined service delivery and financial reports
· Assist in the preparation of information packages, attendance and prepare motions for the annual general meeting including preparation of annual report
· Attend internal and external meetings and take meeting minutes, prepare draft minutes for approval and circulation
· Prepare presentations to provide information and inform decision making
· Assist in organizing special events as required
The successful candidate will have:
· A Diploma or Degree in Administration or similar
· Four or more years’ relevant experience in administration
· Strong interpersonal skills, program planning and administrative abilities
· Effective written and verbal communication skills
· Advanced computer software skills in Microsoft Office Suite, Sharevision
· High level of detail orientation in the execution of tasks
· Valid Driver’s license and adequate automobile insurance
· A current (no more than 6 months old) Police/Vulnerable Sector Check and Child Intervention check.

Salary Range: $53,727.00 - $59,697.00/year (this is the prorated salary at .8 FTE)
