Metro ATTA Elevator is an independently owned, full service elevator and escalator company, currently serving the Metro Vancouver area. Our goal is to build long-term relationships with our customers by being fully transparent, providing quality services and a best in-class customer experience.

Due to the continual strong growth of the company and in preparation for its planned expansion across British Columbia, a full time, in house, experienced Operations Assistant is being added to the team.

Responsibilities

The position will function as the primary administrator of the internal operational activities of the company and will report to the Operations Manager.

An example of the job duties:

- Proficient user of and effectively maintain data in various software platforms

to manage activity for the elevator maintenance and construction portfolio and specific online customer portals

- Follow and enforce established protocols, procedures, and operational standards.

- Dispatch and schedule work to be efficient, complete, and operational to standards by collecting and verifying information and actioning needed tasks

-Assist in the day-to-day operations, including managing correspondence, scheduling appointments, and maintaining office supplies

- Provide outstanding customer service by promptly addressing inquiries and concerns from clients, technicians, and other stakeholders

- Obtain quotations and specifications from suppliers, coordinate all paperwork, and create spreadsheets for comparisons.

- Quickly learn and become proficient in using Liftkeeper software to manage service schedules, track maintenance activities, and generate reports

- Prepare reports for weekly billing of chargeable events

- Prepare reports for weekly billing of chargeable events

- Onboarding new customers to include collecting, verifying, and entering data

- Receive, action, and manage communications with customers, consultants, and project managers. All interaction must include both telephone communication with email follow up.

- Assist with bid proposals, vendor quotes, meetings, and walkthrough scheduling

-Variety of other duties, tasks and responsibilities as the company evolves and as assigned by the Operations Manager

Skills and Qualifications

The successful candidate shall have the following qualifications:

  • Minimum 3-5 years related experience; previous experience in or knowledge of the elevator/escalator, mechanical services and/or construction industry would be an asset.
  • Post-secondary education in the areas of office administration and/or equivalent experience in a related field(s), is preferred.
  • Strong learning agility and a willingness to continually learn, develop and take charge.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint and Outlook), and Microsoft Teams.
  • Ability to quickly grasp and navigate software systems; prior experience with Liftkeeper or similar elevator maintenance management software is an asset.
  • Ability to solve problems, make critical decisions and prioritize attention to detail.
  • Excellent verbal and written communication skills.
  • Superior organizational, time management and efficiency skills.
  • Ability to establish a good working relationship with management, co-workers, subcontractors, consultants, trades people among others;
  • A self-starter and motivator that is reliable, dependable and focused
  • Strong concern for sustainability and a proactive attitude towards waste reduction, contributing to our company’s effort to go paperless and towards environmental sustainability.

Pay: $45,000.00-$52,000.00 per year
