Paquin Entertainment is looking for a self-motivated team player to join our Head Office as a Receptionist. The Receptionist performs a mix of administrative, logistical, housekeeping and assistant-type duties, with the purpose of supporting Paquin Entertainment employees and their respective departments for optimal productivity. They must take initiative and deliver an exceptional customer service experience.

Key Responsibilities:
Clerical Duties and Administrative Support:
- Provide an exceptional customer service experience to external patrons in person, over the phone, and through email, Screening and routing phone calls to team members.
- Maintain Security and telecommunication systems.
- Manage boardroom scheduling and technological operation and set up (i.e, smart TV, laptop connections, conferencing, microphones, etc.).
- Assist our multiple offices in Winnipeg and Toronto with ordering supplies and administrative duties.
- Receive, sort, and distribute daily mail/deliveries.
- Execute local, Canadian, North American and global shipments via multiple platforms and maintain accurate record keeping.
- Pilot company VOIP phone system learning, maintaining and addressing any changes needed or company concerns.
- Troubleshoot and assist with technology issues and seek expert support where needed.
- Maintain & track data for Paquin Entertainment Group such as company directory, IT and subscription inventory, vendor updates as required.
- Collaborate with the Human Resources and Payroll Administrator to set up IT equipment for new hires.
- Proactively assist colleagues at head office and throughout North America with day to day adhoc administrative tasks.
- Assist Executives as needed with scheduling, travel arrangements and adhoc duties.
Housekeeping Responsibilities:
- Primary point of contact for company office equipment such as copiers, phones, laptops, monitors, ensuring they are in working order and liaise with vendors on repairs and maintenance as needed.
- Oversee and manage third party vendors for all offices such as water delivery, shredding services, and office maintenance companies.
- Oversee the care and cleanliness of the two Winnipeg Offices by collaborating with our 3rd party cleaning team. Maintaining communication and informing the cleaners of any special requests or cleaning supplies to be ordered.
- Water and maintain all office plants weekly.
- Daily cleaning and maintenance of all office common areas including the front desk, kitchen, copy room, and boardroom to always ensure a professional atmosphere.
- Adhoc special project management as required.
Education & Experience:
- Minimum One Year previous experience in Reception or an Administrative role
- Proficient in MS Office applications
- Outstanding interpersonal and communication skills (oral and written)
- Strong organizational & communication skills
- Must be detail-oriented with a strong sense for cleanliness
- Should be a tech savvy individual
- Must posses a sound operational acumen
- Knowledge and experience in logistics is an asset
- Ability to multi-task and prioritize daily workloads
- An enthusiastic personality with a positive attitude
- Ability to work collaboratively and independently
- Ability to troubleshoot, adapt, take direction, and produce positive results
