The Senior Project Coordinator, HR Policy and Projects reports to the Director, HR Policy & Projects, and is responsible for providing project coordination leadership and services for portfolio initiatives of the Provincial Health Services Authority. The Senior Project Coordinator is responsible for identifying process improvement initiatives, supporting efforts to continually improve on the high quality of service, and ensuring optimum coordination and integration between different stakeholders participating in projects. Contributes to creating a strong team environment by fostering trust and mutual respect, and supporting open dialogue on issues that allow for the optimization of the departments projects and strategic goals. The Senior Project Coordinator applies project management practices in support of the development of project plans including financial, procurement and human resources plans as well as the project schedule. The position supports the development and implementation of change management and stakeholder engagement activities, works with different partners and stakeholders to gather project related performance information, and prepares status reports and provides support at steering committee meetings. The Senior Project Coordinator follows up with subject matter experts on action items, issues management, and risk mitigation activities, extracts and analyzes project data, and provide reports to sponsors and keep abreast of project health overall.
What you’ll do
- Researches and drafts project methodology, processes, tools, templates and techniques to effectively coordinate initiatives and projects as assigned. Collects current state and other information to support the initiatives. In collaboration with appropriate stakeholders and subject matter experts, researches, drafts and/or reviews project plans including scope statements, project charters, guiding principles, schedules, risk management, resourcing and communication plans, and other required documentation for supporting the project. Prepares appropriate analysis and reviews other proposals for accuracy and completeness.
- As directed develops, prioritizes and implements project management timelines and work plans and assists with the clarification of project objectives to ensure that objectives of the project plan are met. Plans and executes projects in detail, clearly identifying project scope, budget and schedule as well as project risks, project organization and project management approach. Maintains knowledge of the project schedule (s), deliverables and commitments as set out in project charters and other work plans. Regularly reviews the Project Plan with the Project Sponsor, Director and working groups for approval/sign-off. Ensures that project performance meets expectations in terms of timelines and scope completion.
- Identifies, problem solves and works to remove barriers to successful completion of projects with an emphasis on resolving issues and facilitating collaborative relationships with all stakeholders. Leads and resolves any escalated issue that comes to HR Policy and Project office. Advises on implementation issues and prepares reports, briefings and presentations researching elements as required. Provides stakeholder support during change and implementation activities by troubleshooting problems, testing alternatives, and providing instruction/training as required.
- Organizes and leads meetings with working groups, stakeholders and others as needed and manages actions arising from them. Conducts regular project status meetings with team members across PHSA to successfully deliver projects. Assigns work to working team members, specifying deliverables, timelines and quality expectations. Monitors performance of working team members and takes corrective actions if required.
- Serves as communication link for required information, processes and timelines to team members to facilitate project advancement through all stages. Generates ideas and formulates recommendations/options. Facilitates stakeholder inputs to arrive at optimum solution.
- Tracks project progress and milestones according to project plan, monitors budgets, and ensures readiness for project implementation. Provides timely verbal updates and reports on project status and key metrics to the Director. Implements adequate internal controls for reporting to senior Management. Regularly reports on project status to HR Directors’ group or other senior leadership groups.
- Ensures proper project closeout at completion. Conducts post-project evaluation process and recommends changes for future projects. Documents and presents a project closeout analysis.
- Develops and maintains various business processes, policies and procedures as well as reference documentation such as process flow charts, guidelines and instructions, and other reference materials. Provides for a variety of projects, planning support and change management services. Participates on assigned internal and external committees as appropriate.

Qualifications
- A level of education, training and experience equivalent to a Bachelor’s degree in Human Resources, Health or Business Administration or a related field, plus a minimum of four (4) years recent related experience in a project coordinator role, preferably in a health, government or community organization.
- Understanding of and practical skills in project coordination/management, research and evaluation; relevant computer software applications; Internet search engines, websites, and navigation; funding structures and application processes; training and education. Strong interpersonal skills and the ability to establish and maintain effective working relationships internally and externally. Ability to navigate complex health care systems. Ability to work independently and as part of a team. Excellent planning and organizational skills including the ability to prioritize workload to meet deadlines. Demonstrated analytical and problem solving skills. Ability to reconcile differing perspectives, develop consensus, and secure cooperation and support from both customers and team members. Ability to resolve conflicts arising within the project team or in interactions with customers in the most advantageous manner to all parties involved. Ability to manage change and assist others with adapting to change. Excellent verbal and written communication skills. Ability to be flexible and adaptable to changing priorities. Demonstrated computer literacy in Microsoft Office (Microsoft Word, Excel, PowerPoint, Project, Visio, Outlook, and Explorer).

Job Type: Regular, Full-Time
Salary Range: $67,861 - $97,550 /year. The starting salary for this position would be determined with consideration of the successful candidate’s relevant education and experience, and would be in alignment with the provincial compensation reference plan. Salary will be prorated accordingly for part time roles.
