SERVICE / PRODUCTION MANAGER

Red Deer Toyota is Central Alberta's highest volume import dealer. We pride ourselves with excellent customer service and a reputation for excellence. We are seeking a Service / Production Manager, reporting directly to the Fixed Operations Manager.

JOB DESCRIPTION:

A. Dispatch:

1. Dispatch customer and internal work to the technicians following these principles.

a. Technician is properly trained to complete the work.

b. Fair distribution to all the technicians in the shop regarding flat rate hours.

c. Returning work to selling technician or in the event of a comeback.

2. Monitor the tech production in real time. Identify areas of improvement regarding shop efficiency.

3. Ensuring technicians are on time and ready to work.

4. Informing advisors on completion time changes or workflow delays.

5. Managing the technicians to ensure they always punched onto their jobs and working. Sending home apprentices when there is a lack of work or complete any projects set aside by Fixed Operations Manager.

6. Preload the technicians when work is available. When possible, advise each technician on the scope of work coming at them next. Have discussion on any questions the technician may have on each job. Ensure the next day’s work is set up prior to leaving for the day.

7. Ensure that all the necessary shop equipment is available, is properly maintained and in safe working condition.

8. Schedule training for all technical staff as necessary for the proper repair and maintenance of the vehicles.

9. Determine shop capacity and set targets for pre-booked appointments.

10. Review time clocking practices on an ongoing basis and correct as required.

11. Review quality control procedures on an ongoing basis to ensure all staff are adhering to Q.C. policies and procedures.

B. Advisor Management.

1. Repair order auditing.

a. Ensure customer information is accurate.

b. Signatures, email address, cell numbers all completed.

c. ECP services selected properly.

d. Enforce vehicle walk arounds for each and every vehicle.

e. Advise on missing service recommendations. Coach the advisors on retail opportunities.

f. Assist in overcoming objections from customers on maintenance and repairs.

g. Ensure promise times are being reflected accurately.

h. All campaigns are up to date.

2. Assuming Service Advisor duties when the advisor team is short handed.

3. Handle customer complaints that demand management’s attention tactfully, promptly and with genuine concern for the customer’s problem.

4. React to customer issues in the absence of the Fixed Operations Manager.

C. Internal advisor.

1. Create repair orders from New and Used sales department requests (purchase orders).

2. Dispatch to internal technician and to other technicians as needed.

3. Assist in supplying estimates for repair to the Sales Management team.

4. Dispatch internal detail work to the detail department.

5. Complete internal paperwork when completed. Supply completed inspection forms and invoices to Sales.

D. Department Manager

1. Manage the service department in the absence of the Fixed Operations Manager.

2. Handle any customer complaints in an efficient manner.
